Job Summary

We are seeking a dynamic and highly organized Sales Administrative Assistant to join our team! In this vital role, you will be the backbone of our sales operations, providing exceptional administrative support to ensure smooth daily functions. Your energetic approach and attention to detail will help us maintain efficient client communication, manage office tasks seamlessly, and support our sales team in achieving their goals. Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Support sales team by coordinating appointments, calendar management, and scheduling client meetings
Perform data entry and maintain accurate records using Microsoft Office applications and QuickBooks accounting software
Handle bookkeeping tasks such as invoicing, expense tracking, and reconciling financial documents
Assist with office management duties including filing, organizing documents, and maintaining confidential information securely
Provide excellent customer service by responding promptly to client inquiries via phone or email and supporting customer support initiatives
Proofread and review correspondence for accuracy, ensuring clear communication with clients and internal teams

Requirements

Proven office management or administrative experience with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with QuickBooks or similar accounting software
Excellent phone etiquette skills with experience managing multi-line phone systems and client communication
Bilingual abilities are a plus to effectively serve diverse clients and team members
Strong computer literacy, data entry skills, and attention to detail for accurate record keeping and proofreading
Ability to handle confidential information discreetly while maintaining professionalism at all times
Experience in clerical tasks such as filing, calendar management, typing, and proofreading is highly desirable
Exceptional time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous experience as a personal assistant or in office support roles will be advantageous
