Full Job Description

Job Summary
We are a premier plastic surgery practice located in beautiful Newport Beach, CA dedicated to delivering exceptional patient care in a posh, upscale environment. Our board-certified female plastic surgeon and experienced team are passionate about helping patients feel confident and cared for throughout their aesthetic journey.

We are seeking a polished, professional, and personable Front Office Coordinator to be the face of our practice. As the first point of contact for patients, you’ll play a crucial role in creating a warm and welcoming atmosphere while managing day-to-day front office operations.

Responsibilities include but are not limited to:

Greet patients warmly and manage check-in/check-out process, collecting payments
Manage the schedule which includes but is not limited to answering phones, responding to texts, emails and VM, schedule/confirm appointments, and direct patient inquiries to the appropriate team member
Rooming patients, turning rooms over including weekly restocking rooms
Updating Lead Management spreadsheets daily
Weekly Inventory
Sanitizing instruments on a weekly basis or as needed
Maintain a clean and organized workspace & reception area such as refilling brochures and business cards
Light tidying up (dusting, vacuuming, trash, maintaining restroom), kitchen clean up after lunch meetings, keeping refrigerator clean
Coordinate patient flow with medical staff
Starting notes for all confirmed patients daily
Assist with administrative duties as needed such as preparing consultation folders, retail bags
Handle incoming and outgoing mail and packages
Experience
Previous front office experience in a medical or aesthetic setting preferred
Professional, clean and fresh appearance and excellent communication skills with team and patients
Strong organizational abilities and attention to detail
Proficiency with scheduling software and basic computer skills
Ability to multitask in a fast-paced environment
Ability to take direction from other team members with a can-do attitude
Positive attitude and team-oriented mindset
Reliable and on time
Spanish speaking a plus
