Job Summary
The Faculty Affairs Coordinator provides administrative, operational, and logistics support to the Provost’s Office, the Office of Digital Learning (ODL), and the Center for Teaching and Learning (CETL). This role requires a strong understanding of higher education processes and institutional workflows as well as the ability to coordinate projects that span academic and administrative units.
This position supports planning, scheduling, documentation, project tracking, and communication for Academic Affairs, Faculty Affairs, ODL, and CETL initiatives. The coordinator maintains official records and documentation systems and ensures initiatives remain organized, on time, and transparent.
Major Responsibilities/Duties/Critical Tasks

Provide administrative support to the Associate Provost for Continuous Improvement & Accreditation, the Associate Provost for Curriculum & Experiential Learning, and the Associate Provost for Faculty Affairs.

Coordinate logistics for meetings, workshops, events, orientations, and professional and leadership development initiatives offered by the Office of Faculty Affairs, ODL, and CETL, including scheduling, preparation of materials, and documentation of outcomes.

Coordinate the Online Course Readiness lifecycle for ODL from intake of course review to reporting of program outcomes, including course section review status, designation history, and timelines.

Serve as primary point of contact with faculty, department chairs, and deans for Office of Faculty Affairs, ODL, and CETL communications.

Coordinate multiple projects concurrently by tracking timelines, deliverables, documentation, and progress updates for leadership and stakeholders.

Develop, organize, and maintain comprehensive documentation and records, including project materials, process guides, operational checklists, evaluation surveys, and reports.

Monitor deadlines and operational milestones to ensure initiatives remain on track and aligned with institutional expectations and provide documentation and support resources to enable continuous improvement for the Office of Faculty Affairs, ODL, and CETL.

Maintain accurate records and data related to course readiness, review results, faculty participation, revision completion, compliance activities, and continuous improvement efforts.

Assist with the development, review, and refinement of administrative procedures and workflows related to digital learning operations.

Prepare ODL readiness summaries, implementation reports, and briefing materials to support leadership decision-making, planning, and institutional reporting.

Support accreditation, compliance, and reporting activities related to distance education and online learning by maintaining organized and audit-ready documentation.

Perform other duties as assigned.
Required Education/Experience
-
Bachelor’s degree from an accredited university and three (3) years of administrative or operational/project management experience required.

A combination of education and experience may be considered.
Preferred Education/Experience
-
Experience in a higher education environment strongly preferred.

Experience in online education strongly preferred.

Experience working with faculty, academic administrators, or cross-functional teams preferred.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
