Full Job Description

Job Overview

The ideal candidate is an experienced construction bookkeeping and administrative professional who understands the unique financial and administrative demands of the construction industry, including job costing.

Strong digital competency is required, including the ability to effectively collaborate across offices using QuickBooks Online, Microsoft Office, and cloud-based file systems.

Responsibilities

Bookkeeping

Manage day-to-day bookkeeping functions using QuickBooks online.
Process accounts payable and accounts receivable
Reconcile bank accounts, credit cards, and vendor statements
Prepare monthly financial reports and year-end financial statements for CPA.
Maintain accurate financial records and documentation
Weekly payroll
Maintain employee files

Construction Accounting

Establish job files and set up customers in QuickBooks
Track and maintain job costing for multiple projects by posting invoices and payroll to jobs.
Invoice the customer based on the contract and as instructed by Project Manager.
Assist with project budgeting, forecasting, and cost analysis
Monitor project profitability
Support project managers with financial reporting and project tracking
Manage contracts, change orders, subcontractor documentation, and compliance records Coordinate insurance certificates, pre-lien and lien release, permits, and project files

Administrative Support

Ensure compliance with various agencies
Manage and monitor insurance policies. Contractors Insurance, Workers’ Compensation, Bond, etc.
Maintain organized digital and paper filing systems
Maintain website and other digital platforms
Support owners and project managers with general administrative tasks

Qualifications

2+ years of construction bookkeeping/accounting experience
Working proficiency with QuickBooks Online
Ability to work independently and manage multiple priorities
Solid grasp of A/P, A/R, reconciliations, and basic financial statement prep
Personable, organized, and comfortable wearing multiple hats throughout the day
Experience with construction documentation and lien processes
Experience assisting with budgeting and cash flow management
Supportive, and team oriented.

Pay: $25.00 - $30.00 per hour
