Full Job Description

Position Summary:
We are seeking a dedicated and detail-oriented ophthalmic back office technician to join our team. The primary role of the technician is to support the doctor by working up patients, accurately documenting patient encounters, managing medical records, and ensuring the smooth operation of clinical workflows. This position is crucial in providing high-quality patient care and maintaining efficient clinical operations.

Locations: Whittier, Pasadena, Pomona, will require traveling and following the doctor.

Full Time Position: 40 hours per week, Mon-Fri; hours 8:30a to 5:00p

Key Responsibilities:

Perform comprehensive patient work-ups, including visual acuity testing, intraocular pressure checks, pupil assessment, dilation, medication reconciliation, and other ophthalmic assessments as appropriate.
Perform ophthalmic diagnostic testing and imaging for retina and oculoplastics patients, including OCT, visual field (VF) testing, fundus photography, fundus autofluorescence (FAF), and other testing as ordered by the physician.
Prepare patient charts in advance of clinic by reviewing prior visit notes, diagnoses, treatment plans, imaging and diagnostic testing, outside records, and physician orders; identify required testing and ensure relevant records and results are available for physician review.
Accurately document patient history, chief complaint, medications, allergies, and clinical findings in the electronic medical record (EMR) and maintain complete and accurate clinical documentation.
Prepare patients and exam rooms for physician evaluation and assist physicians with in-office procedures, including intravitreal injections, minor surgical procedures, instrument sterilization, procedure setup, and post-procedure care.
Maintain efficient patient flow throughout the clinic by anticipating physician and patient needs, completing required testing, preparing patients for examination, and coordinating next steps in care.
Answer and respond to patient telephone calls and clinical messages, including questions regarding medications, symptoms, procedures, post-operative care, and treatment plans; appropriately document communications and escalate clinical concerns to the physician when necessary.
Process prescription requests, medication refills, and pharmacy communications in accordance with physician instructions and established clinical protocols, including obtaining physician authorization when required.
Communicate with pharmacies, referring providers, hospitals, surgery centers, laboratories, and other healthcare organizations as needed to coordinate patient care.
Educate patients regarding diagnostic testing, medications, procedures, pre- and post-operative instructions, and follow-up care as directed by the physician.
Monitor and maintain clinical inventory, including medications, medical supplies, procedure supplies, and diagnostic testing materials; restock exam and procedure rooms, monitor expiration dates, and promptly communicate low-stock or supply needs to management.
Maintain clean, organized, and fully stocked exam and procedure rooms and ensure clinical and diagnostic equipment is properly prepared for use.
Travel with the physician to multiple clinic locations as assigned and ensure clinical supplies, equipment, patient charts, and diagnostic resources are prepared for each clinic.
Support clinical operations by obtaining and organizing medical records, scanning and uploading documents, faxing records and orders, and completing other back-office administrative tasks necessary to support patient care.
Follow established protocols for urgent patient concerns and promptly escalate changes in vision, significant pain, post-operative complications, medication reactions, or other potentially urgent clinical issues to the appropriate provider.
Maintain patient confidentiality and comply with HIPAA, infection-control requirements, OSHA standards, and all applicable practice policies and procedures.
Participate in ongoing training and maintain proficiency in ophthalmic terminology, diagnostic equipment, EMR workflows, clinical protocols, and retina and oculoplastics workflows.
Perform other clinical and administrative duties as assigned to support physicians, patient care, and overall practice operations.

Qualifications:

Education: High school diploma or equivalent
Experience: Previous experience as a back office technician is highly desirable. Experience in oculoplastics, retina, or ophthalmology is a plus.
Technical Skills: Proficient in using electronic medical records (EMR) systems and other medical software. Strong typing and data entry skills.
Communication: Excellent written and verbal communication skills. Ability to interact professionally with patients, families, and healthcare providers.
Attention to Detail: High level of accuracy and attention to detail in documenting clinical information.
Organizational Skills: Strong organizational and multitasking abilities to manage various clinical and administrative tasks efficiently.
Professionalism: Maintain a professional demeanor and appearance at all times. Demonstrate a commitment to patient care and confidentiality.

Work Environment:

The role requires working in a clinical environment, with exposure to patient care areas.
May require standing for extended periods, as well as occasional lifting and moving of medical supplies and equipment.
