Position Summary
The Administrative Manager provides administrative and operational support to the Board of Directors. This position plays an important role in maintaining efficient operations, coordinating member communications, organizing meetings and events, and assisting with bookkeeping and membership records.
Because MWI is a small nonprofit, the ideal candidate enjoys wearing multiple hats, solving problems independently, and helping wherever needed.
Primary Responsibilities (not exhaustive; other duties as assigned.)
Administrative Support
- Manage correspondence including emails and phone calls.
- Maintain electronic filing system.
- Schedule meetings and board activities.
- Prepare board agendas and meeting packets.
- Help with organization's operational plan, set by the board.
- Order office supplies and coordinate vendor services.
Membership Services
- Maintain membership database and contact information.
- Process memberships and renewals.
- Help coordinate member meetings and educational programs.
Financial & Office Support
- Assist treasurer with accounts payable and receivable.
- Process invoices and expense reports.
- Maintain financial records with the treasurer.
- Track event registrations and payments.
- Support annual budgeting and reporting processes.
Communications (in conjunction with marketing team)
- Update website content as needed.
- Assist with social media scheduling.
- Help prepare and send newsletters and promotional materials.
Event Support
Assist with planning and execution of events including:
- Annual Meeting/Harvest Party (November)
- Board meetings (monthly on 2nd Tuesday)
- Member events (Grower Round Tables, Taste Mendocino, Wine Competition, Mendocino County Fair booth, etc)
Responsibilities may include:
- Registration
- Vendor and volunteer coordination
- Event setup and cleanup
- Preparing materials and signage
Desired Qualifications
Required
- Excellent organizational and time-management skills
- Strong written and verbal communication
- High attention to detail
- Ability to manage multiple priorities independently; self-starter
- Professional and friendly customer service skills
- Proficiency with:
- Microsoft Office (Word, Excel, Outlook)
- Google Workspace
- Zoho or other CRM and/or financial software experience a plus
- Valid California driver's license and reliable transportation
Preferred
- Experience working for a nonprofit organization and/or reporting to a board
- Event planning or coordination experience
- Experience with membership organizations
- Familiarity with Mailchimp, Canva, Squarespace, or similar software
- Interest in agriculture, wine, and/or community organizations

- Is comfortable interacting with board members, growers, wineries, and community partners
- Can adapt to changing priorities during busy event seasons
Physical Requirements
- Ability to lift up to 30 pounds.
- Occasional evening or weekend work for meetings and events.
- Ability to travel locally throughout Mendocino County for events.
- Very occasional regional travel (Bay Area, Sacramento).

Mendocino Winegrowers, Inc. (MWI) is a member-based nonprofit organization dedicated to promoting, protecting, and advancing the Mendocino County wine industry. MWI supports local winegrowers and wineries through marketing, education, sustainability initiatives, advocacy, and community events.
