Dental Office Manager

We are seeking a highly organized, proactive, and personable Dental Office Manager to lead the day-to-day administrative operations of our practice. This pivotal role is responsible for ensuring a welcoming environment for patients and a productive, supportive workplace for our team. The ideal candidate will demonstrate strong leadership, communication, and organizational skills, with a keen eye for detail and efficiency.

Key Responsibilities:

Serve as the main point of contact for office operations including maintenance, supplies, equipment, billing, errands, and vendor coordination
Oversee the daily administrative functions of the office to ensure a smooth and efficient workflow
Schedule and manage patient and team appointments, meetings, and staff calendars
Maintain an organized, clean, and well-stocked office environment
Coordinate with HR on staff onboarding, training, and policy updates
Support payroll, invoicing, and budget tracking for general office expenses
Liaise with IT and service vendors to maintain office equipment and resolve technical issues
Ensure compliance with safety, cleanliness, and organizational standards
Greet and assist visitors, creating a professional and friendly first impression
Plan and execute internal events such as team-building activities, celebrations, and meetings
Address staff inquiries regarding administrative or operational matters
Collaborate with facility service providers (e.g., cleaning, catering, security) to ensure consistent support
Continuously evaluate and improve office procedures for greater efficiency and patient satisfaction

Qualifications & Skills:

Proven experience as a Dental Office Manager, Front Office Manager, or Administrative Assistant in a dental setting
Strong knowledge of dental office systems, workflows, and scheduling practices
Proficiency in MS Office (especially Outlook and Excel), email systems, and dental software (e.g., Open Dental)
Hands-on experience with standard office equipment (e.g., printers, scanners, fax machines)
Exceptional organizational, time management, and multitasking abilities
Excellent verbal and written communication skills
Strong problem-solving capabilities and attention to detail
A collaborative and approachable demeanor with the ability to lead by example
High school diploma or equivalent required; additional training or certification in administration is a plus
