Position Summary

Villa Marin is seeking an organized, creative, and personable Part-Time Event Planner & Coordinator to support our resident Activities & Entertainment Committee in planning and coordinating a diverse calendar of social, cultural, educational, and entertainment events.

This position is ideal for someone who enjoys bringing people together, has exceptional organizational and communication skills, and can take an event from an initial idea through successful execution.

Working collaboratively with the Activities & Entertainment Committee and Villa Marin staff, the Event Planner & Coordinator will help coordinate event logistics, communicate with entertainers and vendors, manage schedules and details, and ensure that programs are well organized and thoughtfully executed.

Essential Responsibilities

Support the Activities & Entertainment Committee in planning, coordinating, and implementing resident events and programs.
Coordinate event details from initial planning through completion, including timelines, room reservations, setup requirements, entertainment, vendors, equipment, food and beverage needs, and other logistics.
Communicate professionally and promptly with committee members, residents, entertainers, speakers, vendors, and Villa Marin staff.
Contact entertainers, speakers, instructors, and other potential program providers to obtain availability, pricing, contracts, and event details.
Maintain an organized calendar of upcoming events and ensure deadlines and important details are tracked.
Help prevent scheduling conflicts and coordinate event dates with other Villa Marin programs and operational needs.
Prepare and maintain event-related documents, schedules, vendor information, contracts, confirmations, and other records.
Coordinate with Dining, Facilities, Housekeeping, Administration, and other departments as necessary for successful events.
Assist with event setup and day-of coordination when appropriate.
Anticipate logistical needs and identify potential issues before events occur.
Follow up after events as appropriate and help incorporate resident and committee feedback into future programming.
Assist with special events, celebrations, performances, lectures, outings, and other programs as assigned.
Provide administrative and organizational support to the Activities & Entertainment Committee while maintaining a collaborative and respectful relationship with committee members.

Qualifications

The successful candidate will have strong organizational and communication skills and the ability to manage numerous details simultaneously.

Preferred qualifications include:

Previous experience in event planning, event coordination, hospitality, entertainment, activities, community programming, or a related field.
Excellent organizational and time-management skills.
Strong verbal and written communication skills.
Exceptional attention to detail and follow-through.
Ability to manage multiple events, deadlines, vendors, and priorities simultaneously.
Ability to work independently while collaborating effectively with a committee and multiple departments.
Professional and comfortable communicating with residents, entertainers, vendors, and staff at all levels.
Strong problem-solving skills and the ability to remain flexible when plans or circumstances change.
Comfortable using email, calendars, Microsoft Office and/or similar scheduling and organizational technology.
Warm, service-oriented approach and genuine enjoyment of working with people.
Experience working with older adults or in a senior living/community environment is helpful but not required.

This individual should be able to receive ideas and input from committee members, turn those ideas into actionable plans, communicate clearly about responsibilities and timelines, and follow through until every detail is addressed.

Because this position works closely with a resident committee, the ability to listen, collaborate, build positive relationships, and communicate diplomatically is particularly important.

Schedule

This is a part-time position. The schedule will include regular planning and administrative hours as well as flexibility to attend or coordinate selected events, including occasional evenings or weekends depending upon the event calendar.
