Full Job Description

Position Summary

The Buyer / Purchasing Specialist is responsible for managing the company's purchasing activities to ensure the timely and cost-effective procurement of raw materials, supplies, equipment, and services necessary to support manufacturing and business operations. This role works closely with vendors and internal departments to maintain inventory levels, improve purchasing processes, and support production schedules while achieving cost savings and maintaining quality standards.

Essential Duties and Responsibilities

· Issue and distribute purchase orders for all required materials multiple times throughout the day to support production schedules.

· Maintain accurate and up-to-date records of unassigned inventory.

· Monitor and manage inventory levels at key vendor locations to ensure adequate supply while minimizing excess inventory.

· Maintain purchasing and inventory information within the company's systems to accurately track raw materials, supplies, and services.

· Purchase and maintain appropriate inventory levels of miscellaneous supplies based on departmental requests.

· Identify and implement cost-saving opportunities through strategic sourcing, vendor negotiations, and competitive pricing analysis.

· Attend and actively participate in weekly production meetings, providing updates on material availability and purchasing status.

· Collaborate with the Receiving Department to improve receiving processes and ensure efficient material flow.

· Develop, implement, and maintain purchasing policies and procedures in coordination with the Controller and Operations Manager.

· Communicate regularly with vendors and internal management regarding purchasing activities, inventory levels, and supplier performance.

· Coordinate and participate in monthly physical inventories, including inventory verification at vendor locations when required.

· Identify potential supply, quality, or inventory issues; document findings; recommend corrective actions; verify implementation of solutions; and prevent further processing of nonconforming materials when necessary.

· Comply with all company safety policies, procedures, and established safe work practices.

Additional Responsibilities

· Maintain a clean, organized, and professional work area.

· Perform other duties and special projects as assigned.

Qualifications

Required Education and Experience

· Minimum of five (5) years of purchasing, buying, or procurement experience, preferably within a manufacturing environment.

· Strong knowledge of manufacturing raw materials, production processes, machinery, and general plant operations.

· Bilingual proficiency is required.

Required Skills

· Excellent mathematical, analytical, and computer skills.

· Strong organizational, planning, and time management abilities.

· Proven negotiation and vendor management skills.

· Excellent verbal and written communication skills.

· Strong interpersonal skills with the ability to build effective working relationships across departments and with suppliers.

· Ability to work independently with minimal supervision.

· Ability to prioritize multiple projects and adapt to changing business needs.

· Strong problem-solving and conflict resolution skills.

· Proficiency in Microsoft Office and purchasing/ERP software systems.

Physical Requirements

· Ability to walk throughout a manufacturing facility, including around operating machinery.

· Ability to sit for extended periods while using a computer and other standard office equipment.

· Ability to operate office equipment including computers, keyboards, telephones, printers, and related technology.

· Ability to occasionally lift and carry materials consistent with normal office and manufacturing support activities.
