Position Overview
The Operations Coordinator is the operational hub of Spectron's Spectroscopy Consumables division in Ventura. This role coordinates and oversees the data, materials, and processes that flow through Operations — ensuring full lot traceability, accurate inventory, on-time logistics, and timely, error-free paperwork. Above all, the role exists to keep issues and errors from leaving the building through the timely, accurate processing of all lot data and paperwork.
Beyond its own day-to-day functions, this role provides cross-functional oversight: coordinating across planning, procurement, production, and shipping, stepping in to support short-staffed areas, and removing bottlenecks. It does not have direct reports, but it is trusted to guide daily operational activity and drive continuous improvement. Success requires strong operations and logistics experience, excellent communication, sharp problem-solving, and relentless attention to detail — along with patience, flexibility, ownership, and a positive, can-do attitude in a fast-paced precision-manufacturing environment.
Core Responsibilities & Deliverables
Lot Traceability, Quality & Document Control
- Prepare and maintain operating documents and reports for lot tracking and full traceability.
- Ensure timely, accurate processing of all lot data and paperwork — the key to stopping errors from leaving the building.
- Manage all duties for non-conforming (NCR) products: ERP entries, inventory, factory communication, packaging, and reporting.
- Maintain document control; scan and file working documents for bookkeeping and audit tracking. Support internal material audits and compliance reviews.
Inventory, Procurement & Planning
- Procure and plan raw materials for production, and produce monthly raw-material forecasts.
- Manage and maintain physical inventory and cycle counts.
- Manage the Flash system — maintain parts accuracy and create lots/POs for Coastline.
- Create and coordinate purchase orders for work-in-process and outside processes; weigh and document incoming scrap.
Logistics, Shipping & Receiving
- Oversee logistics and shipments from vendors to offsite facilities.
- Coordinate pickups and deliveries between work sites, and prepare work orders for the cutting facility.
- Support day-to-day shipping and receiving.
- Drive packages to local shipping hubs as needed (mileage reimbursement available)
Financial Preparation & Reporting
- Invoice and confirm sales orders.
- Prepare quarterly financial reports for raw materials and NCR management, and monthly royalty reports for our large OEM contracts.
- Support financial prep and review for Operations.
Customer, Vendor & Program Support
- Collaborate and support the Spectron Green Program (customer refurbishing) — customer service, time management, and follow-through.
- Serve as an operational point of contact for customer inquiries, expedites, and delivery changes; manage vendor relationships for timely material and service delivery.
- Answer phones and provide first-line assistance to customers and factories.
Operational Oversight & Continuous Improvement
- Assist with managing daily operational activities and specific projects.
- Coordinate cross-functionally (planning, procurement, production) to keep MRP/ERP data accurate.
- Cross-train to support short-staffed departments and circumvent bottlenecks; build processes for self-management and drive continuous improvement.
Required Skills
Hard Skills
- Proficient in Excel, Outlook, Teams, Access, and the full Microsoft Suite.
- Experience with FedEx and UPS shipping platforms.
- Hands-on experience with an MRP or ERP system.
- Strong understanding of inventory management and basic accounting (debits and credits).
- Use of AI platforms and ability to optimize processes is a must

Experience & Education
- 5+ years of experience in operations, logistics, planning, or manufacturing coordination.
- High school diploma / GED required; Bachelor's degree preferred.
