Job Title: Executive Assistant
Location: Visalia, CA
Pay: $20.00–$23.00/hour DOE
Schedule: Full-Time | Monday–Friday

Position Overview

Key Staffing is currently seeking a professional and detail-oriented Executive Assistant to support the Executive Secretary, company owners, and project managers with daily administrative and project-related tasks. This position is ideal for someone who thrives in a fast-paced environment, is highly organized, and can effectively manage multiple priorities while maintaining accuracy and professionalism.

Construction industry experience is highly preferred, as this role involves supporting project documentation and communication throughout the lifecycle of construction projects.

Key Responsibilities

Provide administrative support to the Executive Secretary, company owners, and project managers.
Assist with the preparation and organization of project bids, proposals, and related documentation.
Prepare, process, and track correspondence, change orders, Requests for Information (RFIs), and other project documents.
Maintain organized electronic and physical filing systems.
Coordinate and prioritize multiple tasks while meeting deadlines.
Communicate professionally with clients, vendors, subcontractors, and internal team members.
Assist with scheduling, document preparation, and general office support.
Ensure accuracy and attention to detail in all documentation.
Follow established procedures and directions while maintaining confidentiality.
Perform additional administrative duties as assigned.

Qualifications

Previous experience as an Executive Assistant, Administrative Assistant, or similar office support role required.
Construction industry experience is highly preferred.
Strong organizational skills with exceptional attention to detail.
Ability to work effectively in a fast-paced, deadline-driven environment.
Excellent verbal and written communication skills.
Ability to follow directions and prioritize tasks with minimal supervision.
Strong interpersonal skills and ability to work collaboratively with a team.
Professional demeanor and ability to handle confidential information.

Technical Skills

Proficient in Microsoft Word
Proficient in Microsoft Excel
Proficient in Microsoft Outlook
Proficient in Adobe Acrobat
Strong computer and document management skills
