Job Summary
We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and efficient workplace environment. Your positive attitude, organizational skills, and ability to handle multiple responsibilities with professionalism will help create a welcoming atmosphere for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming correspondence, emails, and inquiries with accuracy and professionalism
Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy and confidentiality
Support office management by scheduling appointments, calendar management, and coordinating meetings
Assist with clerical tasks such as photocopying, faxing, mailing, and inventory management of office supplies
Utilize computer skills including Microsoft Office Suite (Word, Excel), Google Workspace tools, and other relevant software for daily operations

Skills

Proven experience in office administration or clerical roles with strong organizational skills
Excellent customer service skills with a friendly demeanor and professional phone etiquette
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Proficiency in computer literacy including typing speed, data entry, proofreading, and familiarity with Microsoft Office and Google Workspace
Knowledge of front desk procedures, office management practices, and basic bookkeeping or QuickBooks experience is a plus
Strong time management skills to prioritize tasks efficiently in a fast-paced environment
Experience as a medical or dental receptionist or personal assistant is advantageous but not required
