Administrative Assistant for Pastoral Care (Part-Time, 21 hrs/week)

Job Type: Part-time salaried position, approximately 21 hours per week

Reports To: Executive Assistant & Volunteer Coordinator

Position Summary

We are seeking a dependable, organized, and compassionate Administrative Assistant for Pastoral Care to support the church’s pastoral care ministry and provide additional administrative support as needed. This role helps coordinate care-related communication, schedules, records, and logistics while maintaining the highest standards of confidentiality, professionalism, and hospitality.

The ideal candidate is detail-oriented, comfortable working with staff, volunteers, members, families, and care providers, and committed to supporting the ministry and mission of the church with kindness, discretion, and a Christ-centered spirit.

Qualifications

High school diploma required, college degree preferred
5+ years of administrative experience, preferably in a church or non-profit setting
High proficiency in Microsoft Office and Google computer applications
Experience with church management database system (e.g. Realm) is a plus
Skill at communicating with members, families, staff, volunteers, and care providers
Exceptional written and verbal communication skills with a hospitable demeanor
Strong multi-tasking skills with the ability to manage competing priorities from multiple staff members
Core values include Christ-centered, inclusive, kind, loving, energetic, fun, and passionate about youth ministry
Successful completion of required background checks and adherence to all church safe conduct, confidentiality, and pastoral ethics policies
Ability to lift/carry small parcels, packages, and other items (up to 30 lbs.)

Key Responsibilities

Pastoral Care Support

Provide administrative support for the pastoral ministry
Maintain strict confidentiality regarding all member needs, prayer requests, and pastoral concerns
Coordinate pastoral visitation schedules and maintain care tracking system
Prepare and distribute prayer lists to church leadership and care teams
Help manage logistics for special services, including funerals and memorials
Maintain hospital call lists
Organize deacon flower deliveries

Reception Desk and General Administration

Work at the reception desk on a scheduled basis and as a substitute when volunteers are not available
Manage room reservations and church calendaring
Create printed reception area daily meeting schedule
Create Statistical Reports for Session
Take and publish weekly staff meeting minutes

Outreach and Mission Support

In collaboration with the Director of Outreach Ministries:

As needed, assist with volunteer sign-ups, schedules, and communications for community service projects.

Church Management System Support

In collaboration with the Data & Cloud Systems Administrator:

Maintain accurate member profiles and involvement tracking

Schedule and Work Environment

This is a part-time salaried role averaging approximately 21 hours per week. Work is performed primarily in the church office and includes scheduled reception desk coverage, administrative coordination, and collaboration with staff and ministry leaders.

Physical Requirements

Must be able to perform general office duties and occasionally lift or carry small parcels, packages, and other items up to 30 lbs.
