CAD Services, LLC is a veteran-owned, family-operated company specializing in roofing, solar, battery backup systems, generators, and electrical services. We are committed to delivering exceptional workmanship and outstanding customer service from the first phone call through project completion.

We are looking for an organized, dependable, and customer-focused Office Coordinator to join our growing team. This position is ideal for someone who enjoys helping customers, staying organized, and keeping projects moving from start to finish.

Position Summary

The Office & Customer Service Coordinator serves as the primary point of contact for customers while supporting the daily administrative needs of the office. This role is responsible for scheduling appointments, responding to customer inquiries, following up on estimates, ordering materials, preparing invoices, and ensuring clear communication throughout each project.

Responsibilities

Answer incoming phone calls professionally and courteously.
Respond to customer inquiries by phone, email, and text message.
Schedule inspections, service appointments, installations, and follow-up visits.
Follow up on estimates and proposals.
Prepare and send invoices and process customer payments.
Order materials and coordinate deliveries with vendors.
Maintain accurate customer records and project documentation.
Communicate project updates with customers and internal staff.
Assist with permits, warranties, and administrative paperwork.
Support office operations by ensuring projects are organized and on schedule.
Provide exceptional customer service before, during, and after each project.

Qualifications

Administrative, customer service, or office experience.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Professional phone etiquette and customer service skills.
Ability to work independently and prioritize multiple responsibilities.
High attention to detail and accuracy.
Positive attitude with a willingness to learn.

Required Skills

Proficient in Microsoft 365, including Outlook, Word, Excel, and Teams.
Strong computer and data entry skills.
Ability to learn new software and technology quickly.
Excellent time management and organizational skills.
Strong problem-solving abilities.
Ability to work in a fast-paced environment while maintaining accuracy.

Preferred Experience

Experience in one or more of the following industries is preferred:
