Job Overview

We are seeking a dedicated and professional Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The successful applicant will demonstrate proficiency with office management tools, multitasking capabilities, and a commitment to maintaining a positive and efficient work environment.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression of the organization.
Manage multi-line phone systems efficiently, directing calls and taking accurate messages as needed.
Maintain organized filing systems, including digital and paper records, ensuring easy retrieval of information.
Handle data entry tasks with precision using productivity software such as Microsoft Office and Google Workspace.
Support office management activities, including scheduling appointments and calendar management for staff members.
Provide customer support by addressing inquiries promptly and professionally, both in person and via phone or email.
Perform clerical duties such as proofreading documents, managing correspondence, and maintaining office supplies inventory.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
Ensure proper phone etiquette is maintained at all times, projecting professionalism in all interactions.
Contribute to a well-organized front desk environment that promotes productivity and excellent service delivery.

Skills

Proficiency in office management tools including Microsoft Office Suite, Google Workspace, and productivity software.
Strong computer literacy with the ability to perform data entry accurately and efficiently.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
Demonstrated experience in clerical work, customer service, and administrative support roles.
Familiarity with multi-line phone systems and professional phone etiquette standards.
Bilingual abilities are highly desirable to serve diverse client populations effectively.
Previous experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is also valued.
Knowledge of bookkeeping practices using QuickBooks or similar software enhances overall office support capabilities.
Exceptional time management skills to handle multiple responsibilities simultaneously while maintaining attention to detail.
