Full Job Description

Description

Private Family Office is seeking an experienced and trustworthy Estate Manager to oversee the operations of their office and residence located in Northern VA. This role requires a hands-on, detail-oriented professional to ensure the smooth and efficient operation of all properties. The ideal candidate is a positive, proactive team player who will function as a liaison between the family and vendors, contractors, and household/office staff to maintain property upkeep with a solution-oriented approach. Please Note: A clean driving record is REQUIRED for this position.

Responsibilities

Oversee maintenance of the family office and residence located in Northern VA and some travel/coordination of a property located in Delaware
Flexible with the ability to prioritize and re-prioritize tasks
Develop and maintain a comprehensive vendor manual for operational consistency
Supervise vendors and contractors, ensuring quality control, follow-up and adherence to schedules
Coordinating property moves (some heavy lifting required)
Transparency on all vendor/contractor interactions and invoicing
Works seamlessly with the House and Office Managers
Proactive maintenance and problem-solving potential issues/conflicts and addressing them before they escalate
Manage minor tasks independently and/or troubleshooting basic issues without relying on external service providers.
Light maintenance, housekeeping and repairs as needed in the office and at the properties (changing light bulbs, hanging artwork, sweeping, vacuuming, etc.)
Sense of urgency with tasks and calls when needed
Proper tracking of corporate credit card purchases and keeping receipts online and organized for the accountant’s review
General working knowledge of automobiles
Coordination with dealerships and appointments for fleet of office/family vehicles
Move, track and assist with artwork as needed
Provide support for personal errands/tasks – including but not limited to assistance with principals’ events, children’s schedule/school commitments, vet appointments, etc.
Occasional weekend work events/appointments as needed

Qualifications

Proven experience (5 years+) managing office/estates for private families including hands-on involvement and managerial oversight
Expertise in household systems, renovations, and vendor management
A good driving record is mandatory
Strong organizational and communication skills
Familiarity with budgeting and cost management
Flexible and collaborative approach to supporting the family’s needs

Additional Details

The family values someone who is both managerial and hands-on, with a strong sense of ownership over their role.

The role includes a mix of routine property/estate management and special projects.

Confidentiality and discretion are of paramount importance. The ability to adapt to changes (seen and unforeseen) are required for success in this position.
