We are seeking a Recruiting & Onboarding Coordinator to support hiring and onboarding across our Michelin starred and James Beard award winning team at Rose's Luxury, Little Pearl, Pineapple and Pearls, and Extra Fancy, our international events company.

Position Summary
The Recruiting & Onboarding Coordinator supports Rose's Restaurant Group by helping identify, communicate with, and move qualified candidates through a clear and consistent hiring process for hourly and management roles across the company.
This role owns the administrative flow of recruiting from applicant review through interview scheduling and onboarding handoff, ensuring candidates receive timely communication, managers have the information they need, and new hires are ready to begin work with the proper paperwork, systems, and operational details in place.
The ideal candidate is organized, warm, detail-oriented, comfortable juggling multiple priorities, and able to communicate clearly with candidates, managers, HR, and operations.
Responsibilities Include But Are Not Limited To
Recruiting & Candidate Flow

Review and organize applicants across Culinary Agents and other recruiting platforms

Monitor active job postings and applicant pipelines for hourly and management roles

Identify candidates with relevant experience and flag strong applicants for next steps

Conduct introductory screening calls using consistent, role-specific questions

Gather candidate availability, start-date timing, schedule needs, and compensation expectations

Maintain clear notes on candidate status, qualifications, and next steps

Move candidates through the appropriate stages of the hiring process in a timely and organized way
Candidate Communication

Communicate with candidates professionally and warmly throughout the process

Send outreach messages, follow-ups, scheduling links, and interview confirmations

Respond to candidate questions or route them to the appropriate person

Maintain and update standard email and message templates
-
Help ensure candidates receive clear and timely communication, especially when they have directly reached out by email or message
Interview Coordination

Coordinate preliminary calls, manager interviews, final interviews, and skills tests

Create calendar invitations with all necessary details, including resumes, screening notes, role context, and interview expectations

Coordinate with shop managers, chefs, and senior leaders to confirm availability and feedback

Follow up with managers after interviews to collect next steps and keep candidates moving

Help schedule reference checks, trial shifts, culinary skills tests, and other evaluation steps as needed
Job Posting & Hiring Needs Management

Help maintain the internal job board and current hiring priority list
-
Partner with restaurant leaders to understand current staffing needs

Audit active job postings to ensure they reflect current hiring priorities
-
Update postings with accurate job details, schedule expectations, and pay ranges
-
Close or pause postings when roles are filled or no longer active
-
Help keep postings tied to actual hiring needs while maintaining organized pipelines where appropriate
Onboarding Coordination

Support the transition from accepted offer to first day
-
Gather required new hire details for HR, including full name, role, rate of pay, FT/PT status, direct supervisor, start date, and referral information if applicable

Coordinate with HR to ensure onboarding paperwork is sent and completed

Track onboarding progress and help make sure outstanding items are followed up on

Coordinate with operations and shop leaders on start-date readiness

Help confirm that new hires are ready to be scheduled once onboarding is complete
Operational Onboarding Support

Help coordinate new hire setup items that may include uniforms, system access, calendar access, Slack channels, Google Drive access, email setup, keys/fobs, certifications, or other role-specific needs

Communicate with the appropriate department owners to make sure onboarding tasks are moving

Help keep onboarding checklists organized and up to date

Notify managers and shop leads when a new hire is cleared and ready to begin

Support transfer and promotion onboarding steps as needed
Documentation & Compliance

Maintain accurate recruiting notes and candidate records
-
Use consistent, factual, business-reason-focused documentation
-
Support pay transparency compliance by confirming postings include reasonable pay ranges

Help maintain organized applicant, resume, and onboarding files
-
Follow company process for candidate communication, selection, and documentation

Escalate unusual or sensitive candidate situations to the appropriate leader before moving forward
Administrative & Systems Support

Keep recruiting trackers, spreadsheets, Culinary Agents, Trello, Google Drive, and related tools organized

Support recurring recruiting audits and pipeline reviews
-
Create and improve simple systems that make recruiting easier for managers and candidates
-
Document best practices for screening calls, interview scheduling, follow-up, skills tests, and onboarding handoffs
Qualifications

Prior recruiting, HR, restaurant operations, administrative, or hospitality experience preferred

Excellent written and verbal communication skills

Highly organized and comfortable tracking many candidates and tasks at once

Warm, professional, and candidate-friendly communication style

Strong attention to detail and follow-through

Comfortable using Google Workspace, Slack, calendar tools, spreadsheets, and applicant tracking platforms

Able to work collaboratively with managers, chefs, HR, and operations

Able to handle confidential information with discretion

Restaurant or hospitality experience strongly preferred

Physical / Schedule Expectations

Primarily administrative work, with time spent at RRG HQ and occasional visits to restaurant locations

Must be comfortable working at a computer for extended periods

Approximately 20 hours per week, with some schedule flexibility for interviews, onboarding needs, or urgent hiring priorities

Must be able to maintain confidentiality and professionalism in a fast-paced hospitality environment
