Full Job Description

SUMMARY: The Contract Administrator will work closely with our production, sales, finance, and project delivery teams to ensure orders are accurately reviewed, entered, invoiced, shipped, and closed out on time. The candidate must be willing and eager to work in a small company, fast-paced environment where each employee wears multiple hats and fully embraces the get-it-done attitude. The position will report directly to the president of the company.

ESSENTIAL DUTIES AND RESPONSIBILITES include, but not limited to:

· Review and negotiate both commercial and government contracts against organizational requirements, detection of ambiguities or inaccuracies/omissions as well as conflicts with specific prohibitions per regulations.

· Establish accurate shipping terms on each contract aligning with UCC or Incoterms as appropriate.

· Review new purchase orders for compliance with agreed terms and conditions, resolve any conflicts to agreed terms, and accept the orders.

· Enter all accepted and signed sales orders in the Made2Manage ERP system and maintain / update them throughout the project lifecycle.

· Work closely with production team to release all new orders, accurately plan production schedule that aligns with all customer ship dates, and create pick tickets for projects.

· Primary contact for the organization with access to customer portals for retrieving/posting data such as sales orders, shipping details and invoicing.

· Prepare and issue invoices to customers that align with project completion milestones. Monitor past dues invoice aging and contact customers to collect

· Create packing list, shipping documentation, coordination of shipping with transportation companies or customers. Primary person responsible for managing both domestic and international shipping along with import/export of products.

· Primary contact for answering phone inquiries and calls

· Work closely with organizational president to finalize contracts and review organizational performance reports.

· Issue and manage the Return Material Authorization (RMA)

QUALIFICATION REQUIREMENTS:

· High school diploma or GED, or 1-3 months related experience and/or training, or an equivalent combination of education and experience.

· Ability to read and comprehend customer orders and correspondence.

· Ability to add, subtracts, multiply and divides.

· Ability to solve practical problems and deal with variables in real time situations.

· Competence in Microsoft Office Suite for documentation, reporting and communication tasks.

PHYSICAL DEMANDS and WORK ENVIRONMENT:

· Regularly required to sit for extended periods of time.

· Frequently required to use hands to operate keyboard, mouse, and other office equipment as well as climb stairs.

· Occasionally must bend, reach, and stoop.

· Occasionally must lift and/or move up to 10 pounds.

· The noise level in the work environment is usually moderate.

Pay: $19.23 - $24.03 per hour
