Full Job Description

We are seeking an experienced and detail-oriented Business Office Manager (BOM) to oversee the daily administrative and financial operations of an assisted living community. The ideal candidate will have a minimum of 3 years of direct Business Office Manager experience, preferably within assisted living, senior living, healthcare, or a related environment.

The Business Office Manager will be responsible for maintaining accurate records, supporting Medicaid and Medicare long-term care processes, managing accounts receivable, coordinating administrative functions, and providing excellent customer service to residents, families, employees, vendors, and other departments.

The successful candidate is organized, dependable, professional, and comfortable working in a fast-paced environment while maintaining a high level of accuracy and confidentiality. This individual should also be proactive and willing to identify and implement more efficient processes to improve the overall operation of the business office.

Must be able to successfully pass a Level 2 background screening.

Responsibilities

Manage the day-to-day administrative operations of the community business office.
Process and coordinate Medicaid and Medicare Long-Term Care applications, including gathering required documentation, tracking applications, and following up on outstanding items.
Manage Accounts Receivable (AR), including resident accounts, payments, collections, billing, and account reconciliation.
Maintain accurate and up-to-date resident, financial, employee, and administrative records.
Monitor outstanding balances and follow up appropriately on unpaid accounts.
Organize and maintain office files, records, and documentation in accordance with company policies and applicable regulations.
Prepare, review, and process correspondence, reports, invoices, and other business office documents.
Sort, distribute, and respond to communications in a timely and professional manner.
Schedule and coordinate meetings, appointments, and administrative activities.
Monitor office supplies and place orders as needed to prevent shortages.
Work with vendors and suppliers to address invoices, account questions, service issues, and other administrative needs.
Respond to office-related issues and coordinate resolution with the appropriate departments.
Work closely with Executive Directors, nursing, human resources, accounting, and other departments to ensure administrative and financial processes are completed accurately and in compliance with established policies.
Maintain professional and trusting relationships with residents, families, vendors, suppliers, employees, and colleagues.
Provide receptionist and front-office support when needed, including answering phones, greeting visitors, and directing inquiries.
Protect confidential resident, employee, and company information.
Identify opportunities to improve office procedures, organization, and efficiency.
Perform additional administrative and business office duties as assigned.

Qualifications & Skills

Minimum 3 years of direct experience as a Business Office Manager, preferably in assisted living, skilled nursing, senior living, healthcare, or a related setting.
Strong knowledge of Medicaid and Medicare Long-Term Care processes.
Experience with Accounts Receivable, billing, collections, and account reconciliation.
Proficiency with Microsoft Office, including Word and Excel, and the ability to learn and use company software systems.
Thorough understanding of business office and administrative procedures.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Strong analytical and problem-solving abilities.
Excellent written and verbal communication skills.
Strong customer service and interpersonal skills.
Good mathematical and basic accounting skills.
Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
Ability to work independently while also collaborating effectively with a team.
Professional, dependable, and organized with a strong sense of accountability.
Ability to maintain confidentiality and handle sensitive information appropriately.
Successful completion of a Level 2 background screening is required.

Preferred Qualifications

Assisted living, skilled nursing, or senior living business office experience.
Experience working with state Medicaid systems and long-term care eligibility processes.
Experience with electronic medical records, billing, accounting, or senior living management software.
Knowledge of healthcare regulatory and compliance requirements.
Experience working with residents, responsible parties, insurance providers, and government agencies.
