Full Job Description

Accounting Clerk - A/R & A/P with Receptionist duties

Position Type: Full-Time | In-Office (Non-Hybrid)

Location: Knapp Properties Corporate Office

Join the Knapp Properties Team

Knapp Properties is seeking a detail-oriented, dependable, and motivated Accounting Clerk to join our Accounting Team. This position is ideal for an accounting-minded individual who enjoys a variety of responsibilities, takes pride in accuracy, and thrives in a collaborative environment.

The Accounts Receivable/Payable Accounting Clerk will work closely with team members. This position helps ensure the accuracy, efficiency, and continuity of daily accounting operations while providing backup support to the front office when needed.

Key Responsibilities

Accounts Receivable

· Complete monthly bank reconciliations using Yardi.

· Prepare and record journal entries to support accurate financial reporting.

· Process and record payments received through Yardi and remote banking platforms, including:

o Residential tenant and commercial rent payments

o HOA dues

o Customer payments

o Miscellaneous business receipts including ACH’s, and offsite HOA deposits

o Internal client deposits

· Prepare physical bank deposits as needed.

Accounts Payable

· Initiate vendor invoices through AvidXchange, including reviewing invoice details, verifying general ledger (GL) coding, validating sales tax, and matching purchase orders (POs).

· Retrieve and upload vendor invoices from accounting, Outlook inbox, online utility and vendor portals.

· Perform vendor statement reconciliations, investigate discrepancies, and resolve vendor inquiries.

· Monitor the Lead Accounts Payable Clerk’s invoice queue and research queue during PTO or other absences.

· Assist with vendor account setup and maintenance, including invoice submission requirements.

· Ordering purchasing cards for employees and supplying authorized purchaser information updates to vendors.

· Handle invoice revision requests.

· Online and telephone payments

Special Projects

· Scan & digital filing of 1098/1099’s from tenants, vendors, and banks for year-end tax prep.

· Scan & digital filing of Real Estate Tax Statements and Assessment letters.

· Annual insurance invoice uploads and processing.

· Other departmental accounting-related projects as assigned. Administrative & Office Support

Provide receptionist coverage during breaks and PTO by:

· Answering and directing incoming phone calls.

· Greeting visitors, vendors, and tenants.

· Distributing incoming mail.

· Entering work order requests.

· Scanning invoices to paperless AvidXchange inbox daily.

· Bank reconciliations.

· Assisting with general front office operations as needed to include certified mailings, ordering office supplies, maintaining office equipment and breakroom.

Qualifications

Required

· Strong attention to detail with excellent organizational skills.

· Proficiency with Microsoft Office, including Outlook and Excel.

· Excellent communication, customer service, and problem-solving skills.

· Ability to manage multiple priorities while meeting deadlines.

· Self-motivated with the ability to work independently and collaboratively.

· Valid driver’s license and reliable transportation for occasional bank deposits.

Preferred

· Accounting experience with a strong understanding of accounts receivable and accounts payable.

· Experience processing invoices, cash receipts, reconciliations, and journal entries.

· Experience with Yardi Voyager.

· Experience with AvidXchange or similar AP automation software.

· Experience in commercial real estate or property management accounting.
