Executive Assistant & Business Development Coordinator

Wallingford, Connecticut (Primarily On-Site)

About the Role

We're looking for an exceptional Executive Assistant & Business Development Coordinator to become a trusted partner to the owner of multiple growing organizations in the commercial construction, nonprofit, and consumer products sectors.

This is an exciting opportunity for someone who enjoys building relationships, coordinating marketing initiatives, planning memorable events, and making a meaningful impact. You'll work directly with the business owner, helping to keep priorities on track while supporting business development, marketing, networking, and community engagement efforts.

The ideal candidate is highly organized, personable, self-motivated, and thrives in a fast-paced entrepreneurial environment. They enjoy meeting new people, representing organizations professionally, and turning ideas into action.

Executive Support

· Manage executive calendars, scheduling, and travel arrangements.

· Coordinate meetings, prepare agendas, and track follow-up action items.

· Draft correspondence, presentations, reports, and other business documents.

· Organize priorities and help ensure key initiatives remain on schedule.

· Handle confidential information with professionalism and discretion.

Business Development & Marketing

· Execute marketing initiatives across multiple organizations.

· Coordinate social media, email marketing, website updates, and promotional campaigns.

· Identify opportunities to increase brand awareness and community engagement.

· Support outside sales efforts by cultivating relationships with prospective clients and strategic partners.

· Conduct follow-up communications with prospects and referral partners.

· Assist in developing proposals, presentations, and promotional materials.

Networking & Community Engagement

· Represent the organizations at networking events, trade shows, industry conferences, and community events.

· Build relationships with business leaders, community organizations, and strategic partners.

· Identify sponsorship, partnership, and collaboration opportunities.

· Serve as a positive ambassador for the organizations in the community.

Event Planning

· Plan and coordinate client appreciation events, networking events, fundraising events, educational programs, and company meetings.

· Manage event logistics, including venues, vendors, budgets, timelines, registrations, and on-site coordination.

· Ensure events are executed professionally and align with organizational goals.

Qualifications

· 3+ years of experience in executive support, business development, marketing, event planning, sales, or a related field.

· Exceptional communication and interpersonal skills.

· Strong organizational and project management abilities.

· Advanced proficiency in Microsoft Office, especially Excel, Word, PowerPoint, and Outlook.

· Experience with CRM systems, social media platforms, and digital marketing tools is preferred.

· Comfortable attending evening and weekend networking or community events.

· Valid driver's license and reliable transportation.

· Professional appearance and the confidence to represent the organizations in a variety of business and community settings.

Compensation & Benefits

· Competitive salary: $80,000-$110,000, based on experience.
