Full Job Description

Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, effective communication, and a welcoming atmosphere for clients, visitors, and staff alike. The ideal candidate must have previous office experience and will demonstrate technical proficiency with various office functions including social media platforms, and a proactive attitude to keep our office running efficiently and professionally. This paid position offers an exciting opportunity to lead administrative functions while supporting a collaborative team dedicated to excellence.

Responsibilities

Oversee office management tasks such as filing, data entry, maintaining spreadsheets, and execute quality control measures.
Obtain signed contracts and forward necessary documents to agents, lenders, and closing attorneys
Create and schedule social media and website content and maintain all social media accounts (Alignable, LinkedIn, Facebook, and Instagram).
Maintain various functions including office calendars, policy & procedures manual, and logs that track showings, transactions, volume, licensure requirements, etc.
Provide exceptional customer service by assisting clients with inquiries, supporting client communication efforts, and managing customer support requests.
Create and maintain accurate records for office files, client packets, listings, and the office listing board while ensuring confidentiality and compliance with organizational standards.
Support office staff with clerical tasks and implement new initiatives discussed in staff meetings. Prepare the meeting agenda and handouts for all team members for such meetings.
Conduct weekly inventory of office supplies and procure supplies accordingly.

Requirements (applicants without any of the following will not be considered)

Proven experience in an office setting or in an administrative role with strong organizational skills and attention to detail.
Strong computer expertise and technically skilled in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), with familiarity of other office equipment and systems (copier, fax machine, multi-line phone system, etc.).
Extensive knowledge and experience with social media platforms and website maintenance.
Superior communication skills, both verbal and written.
Strong work ethic with the ability to multitask in a fast-paced environment while maintaining professionalism and demonstrating excellent phone etiquette.
