Office Administrator

Organization: The Children's Healing Institute (CHI) Location: Palm Beach County, FL — On-site Reports to: Chief Operating Officer Status: Full-time Non Exempt (Hourly) Hourly Rate: $21.00-$24.00 per hour, commensurate with experience

About the Role

The Children's Healing Institute is seeking a dependable, detail-oriented Office Administrator to keep our daily operations running smoothly. This is a hands-on role at the heart of our office — supporting our finance function, keeping our administrative systems organized, and making sure the day-to-day never falls through the cracks. The ideal candidate is a capable multitasker who stays calm and organized while juggling competing priorities, communicates clearly, and takes pride in reliable follow-through.

This role is perfect for someone with light bookkeeping experience and strong administrative skills who wants to contribute to a mission-driven nonprofit serving children and families.

Key Responsibilities

Finance & Bookkeeping Support

Work closely with the organization's remote CFO to support day-to-day financial operations.
Prepare bills and invoices for payment and maintain an accurate record of checks written.
Maintain organized, up-to-date financial files and records.
Prepare bank deposits.
Accounts Payable, Bookkeeping Support and data-entry tasks as needed.

Administrative & Office Management

Keep the office fully stocked with office supplies, as well as kitchen and cleaning supplies.
Maintain organized filing systems (digital and physical) across administrative and financial records.
Provide general administrative support to leadership and staff as needed.

Development & Donor Support

Prepare and send timely, accurate thank-you and donor acknowledgment letters.
Complete event-related data entry as needed to support fundraising and program activities.

Meetings & Records

Attend monthly staff meetings and take clear, accurate minutes.
Track and follow up on action items as directed.

Qualifications

Required

2+ years of administrative, office coordination, or bookkeeping experience.
Light bookkeeping experience and comfort with basic financial tasks (accounts payable, deposits, record-keeping).
Strong proficiency with Microsoft Office and/or Google Workspace (Docs, Sheets, email, calendar).
Excellent organizational skills and demonstrated ability to manage multiple tasks and deadlines at once.
Strong written communication skills and attention to detail.
Dependability, discretion, and the ability to handle sensitive and confidential information.

Preferred

Experience with bookkeeping or accounting software (e.g., QuickBooks).
Prior experience in a nonprofit setting.
Familiarity with donor databases or event/CRM data entry.
