Full Job Description

Position Summary

Jay's Chevrolet GMC is seeking a detail-oriented and organized Accounts Receivable/Accounts Payable Clerk to join our accounting team. This position is responsible for maintaining accurate financial records, processing customer and vendor transactions, and supporting the daily accounting operations of the dealership. The ideal candidate is dependable, maintains confidentiality, and thrives in a fast-paced automotive environment.

Primary Responsibilities

Accounts Receivable

Process customer payments and dealership receipts.
Post and reconcile daily cash, check, credit card, and electronic payments.
Prepare and make bank deposits.
Monitor customer accounts and follow up on outstanding balances.
Maintain accurate receivable records and aging reports.
Reconcile schedules and assist with month-end closing.
Process warranty, insurance, and fleet receivables as assigned.

Accounts Payable

Verify invoices for accuracy and proper approvals.
Match invoices with purchase orders and receiving documents.
Enter invoices into the accounting system.
Prepare weekly check runs and electronic payments.
Reconcile vendor statements and resolve discrepancies.
Maintain organized vendor files and payment records.
Process employee expense reimbursements as needed.

General Accounting Duties

Assist with daily accounting office functions.
Maintain confidentiality of all financial information.
Support month-end and year-end closing procedures.
Prepare reports for management as requested.
Answer accounting-related phone calls and assist customers and vendors professionally.
Provide backup support for other accounting office positions when needed.
Follow dealership policies, manufacturer guidelines, and accounting procedures.

Qualifications

Previous accounting, bookkeeping, or accounts payable/receivable experience preferred.
Automotive dealership accounting experience is a plus.
Strong attention to detail and organizational skills.
Excellent communication and customer service skills.
Proficient with Microsoft Office, especially Excel.
Experience with dealership management software is preferred.
Ability to prioritize multiple tasks and meet deadlines.
High level of integrity and confidentiality.
High school diploma or equivalent required; accounting coursework is a plus.
