Job Description

Do you enjoy bringing people together through well-executed events and exceptional service? As an Event Coordinator, you will play a key role in supporting large-scale university events including commencements and school summits that foster collaboration, innovation, and connection across the country. Working alongside a dynamic and supportive team, you will help coordinate logistics, communications, registration, and on-site operations that contribute to memorable experiences for thousands of attendees.

What You'll Do

Manage a shared team inbox, ensuring timely and professional responses to event-related calls, emails, and inquiries.
Coordinate event registration and RSVP processes, maintain reporting, and support event communications.
Assist event planners with vendor coordination, event logistics, and operational planning.
Track event-related expenses, submit invoices, request purchase orders, and follow up on payments as needed.
Take ownership of specialized event functions and processes that support multiple events throughout the year.
Provide on-site event support, including logistical coordination and attendee assistance during events.
Partner with team members on event registration, catering, travel arrangements, faculty support, and other event-related activities.
Enter and maintain event-related data in designated platforms, ensuring compliance with documentation standards.

What You'll Bring

Strong organizational skills and exceptional attention to detail.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Excellent written and verbal communication skills, with a professional and customer-focused approach.
Proficiency with Microsoft Office applications and cloud-based collaboration tools such as SharePoint.
Experience using event registration software.
Ability to work independently while collaborating effectively within a team environment.
Strong problem-solving skills and a proactive, can-do attitude.

What's Required

High school diploma required.
2+ years of office experience.
1+ year of event-related experience.

Bonus Points

Bachelor's Degree preferred.
Previous customer service experience, particularly in event-related or office environments.
Experience supporting large-scale events or multi-event programs.
Familiarity with vendor coordination and event budgeting processes.

Experience in Lieu of Education

Equivalent relevant experience performing the essential functions of this job may substitute for education degree requirements. Generally, equivalent relevant experience is defined as 1 year of experience for 1 year of education and is at the discretion of the hiring manager.

Physical Requirements

Ability to sit or stand for extended periods while performing desk-based and event-related responsibilities.
Ability to lift and carry up to 25 pounds as part of event setup and support activities.
Availability to work evenings and weekends as required for event support.

Work Location

This is a full-time, in-office position requiring five days per week in our Salt Lake City, Utah office, designed to foster the collaboration and connection that fuel our best work.

This position requires occasional travel of up to 20%, including required attendance at designated company summits (typically one to two per year).
