Full Job Description

At Catholic Charities West Virginia (CCWVa), we have a culture deeply rooted in Catholic social teaching and respect all Catholic beliefs and practices.

The Volunteer Supervisor is responsible for all aspects related to volunteers at the Neighborhood Center, which includes: recruitment, orientation, training, communication, scheduling, special event coordination, and volunteer appreciation events. The Volunteer Supervisor must be a highly organized individual who is willing and able to be present for volunteers through timely and appropriate communication strategies and an approachable demeanor.

II. ESSENTIAL DUTIES:

· Provide a consistent and welcoming presence for the volunteers at the Neighborhood Center

· Develop and maintain an organized method to volunteer schedules, including a database of backup volunteers

· Ensure volunteers are staffed to support the various areas of operations, including the kitchen, food pantry, meal route program, donation drives, presence ministry, special events, cleaning and minor maintenance, and administrative assistance

· Recommend the most appropriate volunteer supervision, duties, and ratios.

· Recruit, interview and place applicants for volunteer work

· Conduct and/or arrange for volunteer orientation and training

· Develop and manage volunteer policies, procedures, and standards of volunteer service

· Survey staff regularly to assess needs for volunteer assistance and work proactively with staff to provide accurate information and assistance to the volunteer

· Maintain Volunteer Service Descriptions for each volunteer assignment

· Organize and participate in volunteer recognition programs and special events

· Evaluate all aspects of volunteer programs to ensure effectiveness and to recommend/implement changes as appropriate

· Maintain accurate records and provide timely statistical and activity reports on volunteer participation

· Provide ongoing support and guidance for volunteers

· Confer with volunteers to resolve grievances and promote a cooperative environment.

· Create and distribute various communications and publications, including a quarterly newsletter

III. ADDITIONAL DUTIES:

· Host and attend recruiting events within the community to attract qualified volunteers

· Work with Marketing Department to publicize opportunities for volunteers

· Develop and maintain relationships with community partners including nonprofits, parishes, schools and universities, and civic groups

· Works with Neighborhood Center staff to develop and implement special events involving volunteer assistance

· Assists the Neighborhood Center Director with exploring and developing new programs to meet the needs of the Center’s clients

· Attends meetings and training sessions relevant to the Center’s programs and operations.

· Represents and interprets the mission and work of Catholic Charities West Virginia, the Northern Region, and its programs to the community

· Performs other job-related duties as assigned by the Neighborhood Center Director.

III. SUPERVISORY RESPONSIBILITIES:

While this position will not be supervising staff, it is responsible for the Neighborhood Center’s volunteers.

IV. QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

· Experience coordinating and scheduling large groups of individuals from various age groups and backgrounds, preferably volunteers, is required.

· Bachelor degree preferred.

· Excellent organizational abilities

· Excellent communication and interpersonal skills

· Excellent problem solving and logical thinking

· Experience and familiarity with community groups, including but not limited to: churches, civic groups, schools, and universities

· Excellent computer skills with the ability to track and analyze data.

· Willingness to adapt to change in schedule, including evenings and weekends, if necessary.

· Ability to handle stressful situations

· Ability to work collaboratively in a team environment.

· Must have transportation to travel as needed.

· Ability to:

o Organize, prioritize and utilize effective time management techniques.

o Work independently.

o Respect confidentiality at all times.

o Respect clients’ beliefs and choices.

o Work in a faith-based setting and be sensitive to Catholic social teachings.

o Conduct and attend off-site meetings as needed.

V. PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

· While performing the duties of this job, the employee is regularly required to move. The employee frequently is required to talk or hear.

· The employee must occasionally lift and/or move up to 50 pounds.

· The employee must possess vision ability to read, write, and operate a motor vehicle.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

· The noise in the work environment is usually moderate.

· May be exposed to varying weather conditions due to job-related travel.
