Job Description

Position: Administrative Assistant : Non-Exempt

Position Summary: Responsible for the assistance of administration activities.

Principal Duties and Responsibilities:

1. Greet and receive our different visitors both in person and on our phone lines.Administer the transfer of both these visitor types with professionalism.

2. Maintenance and processing of sales invoicing.

3. Maintenance and processing of daily labeling requirements for the laboratory, plant, and shipping operations.

4. Receive and sort the incoming mail. Deliver to the proper area daily when it is received.

5. Assist in the maintenance and processing of weekly accounts payables and accounts receivables.

6. Maintenance, processing, and documentation of the information to be kept in history as company data.

Other Duties and Responsibilities:

1. Professional appearance and demeanor.

2. Participate in company group projects as assigned.

3. Participate in company meetings as designated.

4. Fill in or assist personnel when needed.

5. Generate other reports as assigned.

6. Utilize different resources available to improve time efficiency in all projects and daily activities.

Work Relationships and Scope: Works closely with the office, plant, and sales personnel. Contact with all personnel is needed. Regular contact with our vendors, customers, and miscellaneous parties is needed.

Performance Dimensions:

Must be adaptable to many different situations, with the ability to carry on business as usual during busy or unusual circumstances. Must be punctual daily with excellent attendance.

Knowledge, Skills, and Abilities:

Must possess self-starter characteristics with the ability to work alone. A minimum of 3 years of related work experience is preferred. Good communication, organizational, and time management skills are required to properly conduct the work needed. Knowledge of different computer skills is required. Knowledge of Microsoft Word, Excel, andPowerPoint is a plus. The ability to be trained in these software operations is required.

Working Conditions:

Work is performed in our pleasant office environment. Hours of work will vary depending on personnel. This position will average at least 20-35 hours per week depending on the person. There will be some variation in work hours due to differing requirements and special projects.
