Job Summary
Overview
Flow Sciences is seeking an organized, detail-oriented Operations Coordinator - Human Resources & Operations to support key HR, training, compliance, safety, and operational initiatives within our manufacturing facility.
This position works closely with Human Resources, Operations, Safety, and Quality to coordinate employee training, maintain compliance records, track projects and action items, support workforce documentation, and help ensure important plant and HR initiatives are completed accurately and on time.
The ideal candidate enjoys working in a fast-paced environment, is comfortable interacting with employees and leaders at all levels, and has strong organizational skills with the ability to manage multiple priorities and follow projects through completion.
Key Responsibilities
- Key ResponsibilitiesTraining & Compliance
- Coordinate and maintain employee training schedules and calendars.
HR & Workforce Support
- Partner with Human Resources to support onboarding, orientation, transfers, promotions, and other employee changes.
- Assist with maintaining and updating job descriptions and position documentation.
- Coordinate job description reviews with managers and HR.
- Support employee communications regarding training, policies, schedules, plant activities, and organizational updates.
- Assist with employee recognition programs, meetings, events, and engagement activities.
- Maintain confidentiality when handling employee, HR, compensation, and other sensitive business information.
- Provide administrative support for HR and employee-relations processes while appropriately directing employee concerns to Human Resources.
Project Coordination
- Maintain project and action-item trackers for assigned plant and HR initiatives.
- Track project milestones, deadlines, deliverables, outstanding items, and completion dates.
- Follow up with team members regarding upcoming and overdue action items.
- Coordinate meetings and prepare agendas, notes, action items, and follow-up communications.
- Provide project-status updates and assist with special projects related to training, compliance, workforce initiatives, facilities, and process improvements.
- Identify outstanding items or potential delays and communicate them to the appropriate team members.
Safety, Quality & Regulatory Support
- Partner with Safety, Quality, HR, and Operations to support company and regulatory compliance requirements.
- Assist with scheduling and documenting safety meetings, inspections, required training, and corrective actions.
- Track audit findings, corrective actions, and required follow-up activities.
- Maintain organized records supporting OSHA, document control, quality, customer, insurance, and other applicable audits or inspections.
- Assist with communicating and documenting changes to policies, procedures, and compliance requirements.
- Escalate compliance gaps or overdue corrective actions to the appropriate leader.
Reporting & Administrative Support
- Develop and maintain spreadsheets, trackers, calendars, and reports for HR and operational activities.
- Track training completion, certifications, project status, corrective actions, job description reviews, and other assigned activities.
- Prepare recurring reports and documentation for meetings.
- Maintain accurate and organized electronic and physical records.
- Coordinate meeting logistics and prepare materials as needed.
- Assist with employee communications, plant announcements, bulletin boards, and informational materials.
- Support plant tours, customer visits, audits, special events, and emergency-preparedness activities.
- Support the implementation of new systems, technology, and processes.
- Identify opportunities to improve administrative processes, recordkeeping, communication, and workflow efficiency.
- Perform other related duties and special projects as assigned.
Qualifications:
Required
- Education & Experience
- Associate degree in Business Administration, Human Resources, Operations, Manufacturing, or BS preferred.
Knowledge, Skills & Abilities
- Strong organizational, administrative, and project-tracking skills.
- Excellent attention to detail and follow-through.
- Ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Ability to work effectively with hourly employees, supervisors, managers, HR, and senior leadership.
- Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, Outlook, and Teams.
- Ability to create and maintain spreadsheets, trackers, reports, and operational documentation.
- Ability to learn HRIS, LMS, ERP, project-management, and other company systems.
- General knowledge of manufacturing operations, workplace safety, training administration, and HR practices preferred.
- Strong judgment when handling confidential and sensitive information.
- Ability to work independently, identify outstanding tasks, and follow through to completion.
- Strong customer-service mindset with the ability to build positive working relationships across departments.
Work environment and reporting
Physical & Environmental Requirements
- Work is performed primarily on the manufacturing floor and office space
- Frequent standing, walking, bending, reaching, and lifting throughout the workday.
- Ability to lift and move materials weighing up to 20 pounds on as needed basis.
- Must be able to safely navigate the production floor and work effectively in a fast-paced manufacturing environment.
- Occasional overtime may be required
