The Maintenance Manager is responsible for providing strategic leadership, operational oversight, and technical expertise for the maintenance operations across an assigned portfolio of apartment communities. This position ensures physical integrity, safety, regulatory compliance, and long-term preservation of all assets while delivering exceptional customer service and operational excellence.
The Maintenance Manager partners closely with Community Managers and executive leadership to oversee maintenance operations, preventative maintenance programs, capital improvements, vendor relationships, safety initiatives, budgeting, and team development. This role serves as the primary technical resource for all building systems and maintenance operations throughout the portfolio.
Responsibilities
Property Maintenance & Operations
Provide leadership and oversight for all maintenance operations within the assigned portfolio.
Conduct routine inspections of buildings, grounds, common areas, and mechanical systems to ensure communities meet company standards.
Identify, prioritize, and coordinate repairs for safety hazards, deferred maintenance, and code deficiencies.
Develop, implement, and monitor comprehensive preventative maintenance programs.
Maintain a working knowledge of all building systems, including but not limited to:
HVAC systems
Plumbing and sewer systems
Electrical systems
Structural and building envelope components
Roofing systems
Carpentry and building finishes
Fire alarm, sprinkler, and life safety systems
Backflow prevention systems
Elevator systems (where applicable)
Access control and security systems
Irrigation and landscape systems
Storm water management and drainage systems
Lift stations and sewage pumps
Swimming pools, spas, and related equipment
Fitness center equipment
Exterior and site lighting
Golf carts, generators, and other specialty equipment
Ensure apartment turns are completed on schedule by inspecting vacant units, documenting required work, and verifying completed renovations meet company quality standards.
Ensure resident service requests are completed promptly while maintaining exceptional customer service.
Maintain accurate maintenance records, including preventative maintenance schedules, work orders, inventories, inspections, expenditures, and make-ready status.
Maintain adequate inventories of tools, equipment, supplies, and replacement parts.
Identify and document utility shut-offs, sewer clean-outs, emergency access points, and critical building infrastructure.
Vendor & Capital Project Management
Manage and evaluate the performance of contractors, vendors, and service providers.
Assist in vendor selection and contract recommendations with Community Managers and Regional Leadership.
Coordinate capital improvement projects from planning through completion while ensuring quality workmanship, budget compliance, and adherence to project schedules.
Identify capital replacement needs and assist in developing annual capital improvement plans.
Monitor warranty work and ensure timely completion of contractor obligations.
Assist with property acquisitions, renovations, due diligence inspections, and special projects.
Financial & Administrative Responsibilities
Assist in developing and managing maintenance operating budgets.
Monitor maintenance expenditures and identify opportunities for operational efficiencies and cost savings.
Prepare and submit required maintenance reports in accordance with company standards.
Maintain accurate documentation related to maintenance activities, inspections, vendor contracts, warranties, and compliance requirements.
Safety & Regulatory Compliance
Ensure compliance with all federal, state, and local laws, Fair Housing regulations, OSHA standards, EPA requirements, and applicable building codes.
Coordinate all required inspections, certifications, testing, and preventative maintenance for regulated systems including:
Elevators
Backflow prevention devices
Fire alarm systems
Fire sprinkler systems
Emergency lighting
Pool equipment
HVAC systems
Boilers and mechanical equipment
Lead regular safety meetings and maintain Safety Data Sheets (SDS) in accordance with OSHA standards.
Promote a culture of safety throughout the portfolio.
Assist communities with emergency preparedness planning for hurricanes, flooding, severe weather, fires, and other emergencies.
Coordinate property recovery efforts following emergency events.
Leadership & Team Development
Recruit, hire, onboard, train, schedule, coach, and develop maintenance associates.
Conduct performance evaluations and provide ongoing coaching and accountability.
Establish measurable performance expectations and operational goals.

Experience with property management and maintenance software preferred.
Ability to travel regularly throughout the assigned portfolio.
Valid driver's license with acceptable driving record and current automobile insurance.
Physical Requirements
While performing the duties of this position, the employee must regularly:
· Lift, carry, push, or pull materials weighing up to 50 pounds independently and heavier materials with assistance.
· Climb ladders up to 40 feet in height.
· Work from elevated platforms, rooftops, and ladders.
· Bend, kneel, stoop, crouch, crawl, reach overhead, and work in confined spaces.
· Operate hand and power tools.
· Move appliances, HVAC equipment, water heaters, compressors, furniture, and other maintenance-related materials.
· Perform maintenance on HVAC systems, plumbing, electrical systems, fitness equipment, pool equipment, grills, golf carts, and other property amenities.
· Work indoors and outdoors in varying weather conditions.
· Respond to after-hours emergencies as necessary.

Education & Experience
· High school diploma or equivalent required.
· Minimum five (5) years of multifamily maintenance experience required.
· Minimum three (3) years of maintenance supervisory or management experience preferred.
· Experience managing maintenance operations across multiple communities preferred.
· EPA Universal Certification required or ability to obtain within established timeframe.
· Certified Apartment Maintenance Technician (CAMT) preferred.
· Certified Pool Operator (CPO) preferred.
· Working knowledge of OSHA regulations and safety practices required.
· Bilingual (English/Spanish) preferred.
· Demonstrated experience leading change and managing operations in a multi-site environment.
Working Conditions
This position requires regular travel between communities within the assigned portfolio. Evening, weekend, holiday, and on-call work may be required to respond to emergencies, weather events, or operational needs.
