Full Job Description

Introduction

The Department of Safety and Professional Services mission is to promote economic growth and stability while protecting the citizens of Wisconsin as designated by statute. DSPS and related professional boards protect the citizens of Wisconsin by ensuring the safe and competent practice of licensed professionals; performing inspections of commercial buildings, amusement rides, boilers, elevators, pressurized gas systems, and electrical systems; and performing plan reviews of commercial building, plumbing, fire suppression, elevators, boilers, and private onsite wastewater treatments systems.

What We Are Looking For: A detailed-oriented individual who has experience providing high level administrative support while handling confidential information with professionalism and integrity.

Where We Are Located: After an initial training period, this position offers a hybridized work schedule. The position will be headquartered at and required to work from the Hill Farms State Office Building in Madison, WI at least 2 days per week. All employees working a hybrid work schedule are generally expected to telework from within the State of Wisconsin. This topic will be discussed more at the time of the interview.

Position Summary

This position provides high-level, confidential administrative support to the Secretary, Deputy Secretary, Assistant Deputy Secretary, and Chief Legal Counsel. Responsibilities include coordinating complex calendars, scheduling meetings, and travel, preparing and editing executive correspondence, managing high-priority projects, and serving as a liaison with agency leadership, elected officials, external partners, and the public. This position plays a key role in supporting executive operations and ensuring the efficient coordination of agency priorities.

Salary Information

This position is in schedule-range (81-04) with an annual salary of $56,160-$77,314, plus excellent benefits. A twelve month probationary period is required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Qualifications

Qualified applicants will have experience with all the following:

Managing multiple executive calendars for scheduling meetings and appointments.
Providing confidential administrative support for management in an organization/business setting (Activities may include: arranging for an scheduling meetings with numerous people; reserving facilities and technology for meetings and trainings; ensuring documents meet organizational standards; editing documents for clarity and grammatical correctness; assembling materials necessary for conferences/meetings; prioritizing numerous tasks to achieve optimal productivity; etc.).
Utilizing computer software applications in a business setting (Activities may include independently generating and responding to correspondence and inquiries, composing and editing confidential documents, etc. utilizing programs such as MS Office products, SharePoint, Adobe Acrobat, or similar software.).
Interacting and communicating with internal and/or external customers on a variety of issues/topics

In addition to the above qualification, well qualified applicants will have experience with at least one of the following:

Creating, maintaining, and distributing reports that provide vital information to internal/external customers.
Conducting research, analysis and/or making recommendations to management (i.e., reviewing and recommending policy and procedure changes; independently reviewing materials and assigning importance, process improvements/efficiencies, etc.).
