BayCare Clinic Eye Specialists is looking for an Optical Department Manager to join our team in Green Bay, WI. We’re looking for a compassionate, thoughtful candidate who wants to contribute to a positive experience for all our patients. The typical hours for this role are Monday-Friday from 8:00am - 5:00pm. No Holidays! No Weekends!

The Clinic:

BayCare Clinic is a successful, dynamic group comprised of 20+ specialties. We are a physician-owned entity with joint ownership in Aurora BayCare Medical Center, a 167-bed hospital located in Green Bay, WI, offering us a built-in referral base. Each of our specialty practices have clinical autonomy and are financially sound.

The Practice:

We are a team of dedicated Ophthalmologists and Optometrists who exist to meet the ophthalmic needs of the people of Northeastern Wisconsin and the Upper Peninsula of Michigan. BayCare Clinic Eye Specialists offers more specialty services than any other provider in northeastern Wisconsin and we are the largest Ophthalmology practice north of Milwaukee, with four locations in northeastern Wisconsin. We have a highly trained, collaborative team of ophthalmologists, most of whom specialize in one aspect of eye health. We have glaucoma, retina, pediatric and oculoplastic specialists.

The Job:

Responsible for the day-to-day operations of the optical departments at all clinic sites, while functioning as a ‘working supervisor’.
Assigns, directs, and supervises daily activities of staff to ensure clinical and business needs are met in accordance with established policies and procedures.
Responsible for maintaining product inventory.
Ensures accuracy of financial reporting, working collaboratively with Corporate Finance Department.
Ensures system software is updated with CMS fees.
Identifies and implements operational improvement initiatives.
Communicates priorities to staff and facilitates departmental changes as necessary.
Monitors and evaluates performance and productivity of staff, providing feedback and coaching to ensure improvement.
Assists physician with specialty contact lens fittings.
Schedules staff in order to meet needs of department.
Maintains departments DME and certification standards, including educating other staff members on proper maintenance of DME throughout clinic sites.
Assists with employee hiring and training & development process.
Responsible for maintaining positive employee relations.
Provides leadership, acts as a mentor to staff and provides coaching and counseling to staff as needed.
Conducts formal performance evaluation of staff on at least an annual basis per company policy.
Provides and promotes positive customer service and public relations.
Works with patients to resolve problems and responds to patient complaints.
Provides Practice Administrator with pertinent information related to patient, staff, or provider concerns.
Hosts a regular meetings with staff to cover relevant updates and motivate the team.
Prepare formal updates to be presented to the Board as requested.
Promotes services offered within department to patients and public as appropriate.
Works collaboratively with company departments and sites and working with Practice Administrator, helps resolve interdepartmental issues.
Performs duties of Dispensing Optician, to include:
- Acknowledges patients as they enter the optical department.
- Contacts patients when eyewear is ready.
- Effectively analyzes and interprets prescriptions, understands patient needs and promotes optimum comfort, visual efficiency and cosmetic acceptability.
- Identifies irregularities by applying knowledge of ophthalmic terminology to ensure prescription is correct.
- Recognizes and shares the limitations of the prescription with the patient as it relates to the practical application of the product by determining the relationship between prescription and the patient’s needs.
- Reviews and verifies existing patient records, assess previous eyewear use, identifies visual tasks to fulfill patient needs and wants.
  - Works with, and educates patients to determine appropriate frame and lens type
  - Accurately measures facial, ocularly, and frame; evaluates results to enhance proper visual performance and appearance.
  - Demonstrates products to patients, explaining lens features and frame types to meet patient needs and wants.
- Verifies orders to ensure correct eyewear is dispensed.
- As necessary, makes adjustments to eyewear in relation to the patients’ head and face.
- Properly documents deliveries and accurately maintains patient files and sales records.
- Submits billings to 3rd party payers as necessary.
- Assists in merchandising, cleaning and restocking.
Continually seeks ways to make quality and efficiency improvements at the site.
Attends meetings as requested.
Prepare and facilitates regular staff meetings and documentation of staff meetings.
Other duties may be assigned as necessary to meet the needs of the organization.
Respects and maintains confidentiality.
Works in a safe, compliant and ethical manner at all times.

The Requirements:

Associated degree in a healthcare or leadership related field desired. Experience in lieu of education will be considered.
3-5 years of operational experience in an optical office is preferred.
American Board of Opticianry certification preferred.
Strong interpersonal skills are preferred.
Strong working knowledge of MS Office is necessary.
