Full Job Description

Job Summary - Part Time 20 to 25 hours a week including Saturdays 9 am to 1 pm

We are seeking a highly organized and detail-oriented Office Assistant to support daily administrative operations within Home Improvement Contractor Showroom. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. Knowledge of Home Improvement Products such as flooring, tile, decking and appliances helpful. This role offers an opportunity to contribute to a professional team while developing valuable office management skills in a dynamic setting.

Duties

Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using a productivity software such as QuickBooks, Microsoft Office and Google Workspace
Assist with scheduling, calendar management, and appointment setting for staff and clients
Support bookkeeping tasks, including basic invoicing and record keeping for client job folders
Prepare documents, contracts, and correspondence with attention to detail, proofreading for accuracy
File documents systematically and ensure proper organization of office supplies and materials
Provide exceptional customer service by addressing inquiries via phone or email promptly and professionally
Support office management tasks such as maintaining office supplies inventory and assisting with special projects as needed
Handle clerical duties including word processing, filing, and document formatting to ensure smooth office operations

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar bookkeeping software is preferred
Strong organizational skills with the ability to prioritize tasks effectively
Excellent written and verbal communication skills; bilingual abilities are a plus
Familiarity with multi-line phone systems, phone etiquette, and customer service best practices
Demonstrated computer literacy, including data entry, typing speed, proofreading, and technical proficiency in productivity software
Previous office management or administrative experience is desirable
Ability to handle front desk duties efficiently while maintaining professionalism under pressure
Strong time management skills with the ability to multitask in a fast-paced environment
Experience in customer service for home improvement contractor sales is advantageous but not required
