Full Job Description

Are you a people person who likes to be the face of the office, help others, multi-task, keep things organized and running smoothly, and have experience and accuracy working with receiving checks and getting them paid into a system? The Wayne County Commissioners are currently accepting employment applications for the full-time position of Administrative Secretary.

DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

Perform administrative duties to assist Commissioners’ Office elected officials/executives and employees; work independently without direct supervision; work collaboratively as appropriate; handle private/sensitive information; maintain comprehensive lists and be responsible for follow-up with them. This includes extensive use of computer programs such as Microsoft Outlook, Word, Excel, PowerPoint and Publisher to compose correspondence, as well as create and/or maintain reports, charts, spreadsheets, directories and in-house forms with formulas.
Serve as liaison for County offices by greeting and assisting visitors to the office, answering phones and transmitting messages, sorting and distributing all office mail, processing daily checks/pay-ins.
Handle processes for the Wayne County Sewer Department including: daily payments, customer phone calls, email, maintain and update customer accounts, monthly EPA reports, process and pay invoices, prepare correspondence, record and track incident reports.
Provide back up for the Wayne County Sewer Department as needed including: monthly sewer billing and reports, close payments, prepare delinquent accounts for certification; issue sewer permits; perform scheduled and random audits; annual audits, and records retention.
Keep and maintain system for retention guidelines of all public records and requests.
Coordinate, schedule and process County auctions.
Serve as Deputy Clerk to the Board of Commissioners as needed.
Schedule appointments, meetings, trainings, Zoom invites, etc.
Maintain multiple filing systems.
Must make sure critical operations are performed in a timely manner.
Must have or obtain a notary license (within one year).
Must be detail-oriented, efficient, accurate, multi-tasking and punctual.
