Job Summary

We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle scheduling tasks such as calendar management and appointment setting for staff or clients
Maintain accurate records through data entry, filing, and updating spreadsheets using Microsoft Office and Google Workspace tools
Assist with office management duties including supply inventory, filing systems, and basic bookkeeping using QuickBooks or similar software
Support administrative tasks such as proofreading documents, word processing, and managing correspondence
Provide excellent customer support by addressing inquiries via phone or email, ensuring client communication is clear and courteous

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer literacy with experience in data entry, spreadsheets, and productivity software
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Prior office experience or administrative background in medical or dental reception is highly desirable
Knowledge of front desk procedures including phone communication, filing systems, and client interaction
Technical proficiency in office management tools such as QuickBooks and multi-line phone systems
Exceptional time management skills to prioritize tasks effectively throughout the day
