Position Summary
45Press INC is seeking a highly organized, detail-oriented individual to join our team as an Entry-Level Government Bid & Proposal Coordinator. This position will work directly with the CEO to identify government contracting opportunities and prepare accurate, professional, and timely bid submissions.
The ideal candidate is comfortable researching information, managing multiple deadlines, organizing detailed documentation, and working independently. This is an excellent opportunity for someone interested in government contracting, proposal development, business development, technology, and web services.
The position may be based at our Canfield, Ohio office or performed remotely. The selected candidate must be available for occasional business travel.
Key Responsibilities
- Search federal, state, and local government procurement portals for relevant bid opportunities, requests for proposals, requests for quotations, and related solicitations.
- Review bid requirements and summarize important details, including scope of work, deadlines, required forms, qualifications, and submission instructions.
- Work directly with the CEO to determine which opportunities are a good fit for the company.
- Create and maintain bid calendars, deadline reminders, checklists, and organized electronic files.
- Gather company information, certifications, references, project examples, pricing information, and other documents required for submissions.
- Assist with writing, formatting, proofreading, and assembling proposals and bid responses.
- Prepare professional PDF submission packages using Adobe Acrobat.
- Verify that proposals meet formatting, documentation, signature, and submission requirements.
- Submit bids through online procurement systems, email, or other approved methods.
- Monitor submitted bids and maintain accurate records of bid status, follow-up dates, awards, and results.
- Communicate professionally with government procurement representatives and potential business partners.
- Assist with presentations, meetings, conference materials, and other business-development activities.
- Coordinate travel details and prepare materials for meetings in New York City, Washington, D.C., Florida, and other locations.
- Provide occasional assistance with WordPress websites, website content, or basic web-design-related tasks.
- Perform other administrative, research, and project-coordination duties as assigned.
Required Qualifications
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple assignments and meet firm deadlines.
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Familiarity with Adobe Acrobat, including creating, combining, editing, organizing, and reviewing PDF documents.
- Strong written and verbal communication skills.
- Professional proofreading, formatting, and document-preparation skills.
- Ability to conduct online research and quickly understand detailed instructions.
- Comfortable learning new government procurement websites and online submission systems.
- Ability to work independently while communicating regularly with the CEO and other team members.
- Dependable, professional, resourceful, and willing to take initiative.
- Ability and willingness to travel occasionally.
- Reliable internet access and an appropriate workspace are required for remote employees.
Preferred Qualifications
- Familiarity with WordPress.
- Basic knowledge of web design, website content management, HTML, CSS, or digital marketing.
- Previous experience with proposals, grant applications, government bids, contracts, purchasing, or business development.
- Experience using project-management, customer-relationship-management, or document-sharing platforms.
- An associate’s or bachelor’s degree in business, communications, marketing, public administration, information technology, or a related field; equivalent professional experience will also be considered.

Work Environment
This position may be performed locally from the 45Press INC office in Canfield, Ohio, or remotely, depending on the selected candidate’s location and experience. Remote employees may occasionally be required to attend in-person meetings or company events. Some travel and schedule flexibility may be required around bid deadlines, presentations, conferences, and client meetings.
