Full Job Description

We are looking for an Administrative Assistant that will be responsible for providing administrative and clerical assistance throughout all roles of the Tax and Accounting Departments.

In This Role, You Will:

Draft, process, and maintain documents and records digitally in a complex electronic document management system
Type letters, memorandums, reports, etc. from dictated, handwritten, or other sources
Organizes and maintains department files and records within electronic databases
Answer telephones and direct calls to appropriate departments or persons
Schedule appointments and handle necessary notifications including reserving and preparing meeting rooms.
Create and maintain spreadsheets
Create and process invoices and expense reports
Assist the Tax Director with tax filings and preparations
Create Journal Entries

Your Qualifications:

High School Diploma
Minimum of two (2) years’ experience in an executive administrative role
High-level computer skills. Experience working with an electronic document management system a plus.
Excellent typing skills
Shorthand skills are a plus
3+ years’ experience supporting transactional attorneys. In-house experience is a plus.
Advanced Microsoft Office Skills (Word, Outlook, Excel and PowerPoint)
Must have prior experience with redlining and comparing.
Knowledge of the English language, correct spelling, punctuation, and usage
Ability to compose business and legal correspondence
Strong work ethic with a high level of organization. Detail orientation is key.
Familiarity with contracts
Excellent verbal and written communication skills
Ability to manage time effectively and establish priorities
Strong initiative and problem-solving skills
Ability to follow instructions and interpret guidelines in order to make decisions and take necessary action
Ability to maintain focus in a fast-paced, dynamic, team-oriented environment
Ability to maintain composure under pressure and work effectively with others
Ability to manage workload and shift priorities in a fast-paced environment
Strong work ethic with high level of organization. Detail orientation is key
