This is NOT a typical desk job.

Penguin Door Company is looking for a highly motivated, energetic, and organized Project Manager / Field Coordinator to join our growing team. This position is ideal for someone who enjoys fast-paced work, problem-solving, and working with people. Every day is different, and you'll be involved in nearly every aspect of our operations—from the office and shop to the field.

This role requires someone who is proactive, takes ownership, communicates exceptionally well, and can think on their feet. You will be the central point of communication between customers, field crews, the manufacturing shop, vendors, and management to ensure projects are completed safely, efficiently, and on schedule.

POSITION SUMMARY

The Project Manager / Field Coordinator is responsible for overseeing the complete lifecycle of each project—from estimate to approval through final completion and invoicing. This position coordinates manufacturing, scheduling, logistics, customer communication, field operations, and project closeout while ensuring our crews have everything they need to be successful.

You will regularly work with:

Customers
Installation crews
Shop personnel
Inventory department
Management
Facility maintenance teams

KEY RESPONSIBILITIES

Project Management

Manage projects from approval through completion.
Schedule installations and coordinate manpower.
Monitor project progress and customer expectations.
Ensure projects remain on schedule and within scope.
Prepare project closeout documentation.

Shop & Logistics Coordination

Work directly with the shop to prepare upcoming installations.
Direct the loading of trucks to ensure crews have the proper tools, equipment, and materials before leaving for each project.
Verify materials, hardware, and specialty items are complete before mobilization

Field Support

Provide ongoing support to installation crews throughout the workday.
Troubleshoot jobsite issues and help crews resolve unexpected challenges.
Be available after hours including weekends to answer emergency calls from crews when needed.
Coordinate schedule changes caused by weather, customer requests, or unforeseen field conditions

Travel Coordination

Book hotels and arrange travel accommodations for installation crews.
Coordinate travel schedules and logistics for out-of-town projects.
Ensure crews have all necessary travel information before departure.

Customer Relations

Maintain regular communication with customers throughout every phase of the project.
Provide schedule updates.
Coordinate shutdown dates and project requirements.
Resolve customer concerns professionally and promptly.

Scheduling & Administration

Create work orders.
Generate project schedules using Buildertrend, ServiceChannel, and Microsoft 365.
Track project progress and labor.
Process change orders.
Coordinate with inventory and purchasing.

Quoting & Documentation

Prepare accurate quotes.
Convert approved quotes into work orders.
Maintain project documentation.
Update QuickBooks and project management systems.

Social Media & Project Documentation

Capture before-and-after project photos.
Assist with creating project content for social media and marketing.
Maintain organized project records.

REQUIRED SKILLS & QUALIFICATIONS

Previous experience in project management, construction coordination, operations management, logistics, or commercial construction.
Strong organizational and multitasking skills.
Excellent verbal and written communication.
Ability to manage multiple priorities simultaneously.
Ability to make quick decisions under pressure.
Strong customer service skills.
Proficient in Microsoft 365 (Excel, Outlook, Word).
Experience with Buildertrend, QuickBooks, ServiceChannel, or similar software is preferred.
Valid driver's license.
Willingness to occasionally travel to jobsites.

WORK SCHEDULE

This is a full-time, in-person position based in Jacksonville, Florida.

While normal business hours are Monday through Friday, flexibility is required. This position includes occasional after-hours and rotating weekend availability to assist field crews with urgent issues, coordinate travel, and ensure projects continue running smoothly.
