Full Job Description

The primary focus of this role is maintaining strong state compliance by ensuring our agency remains prepared for Maine licensing reviews, state surveys, and audits. As Tailored Care continues to grow, the position offers opportunities to help improve office systems, streamline workflows, and assume additional administrative leadership responsibilities.

We're looking for someone who already understands home care compliance, can identify documentation deficiencies, maintain state-compliant records, and work independently with minimal supervision.

Primary Responsibilities

Maintain compliant, organized, and state survey-ready client and employee files.
Identify and resolve documentation deficiencies.
Track required documentation, certifications, training requirements, and compliance deadlines.
Prepare documentation for state surveys, licensing reviews, and audits.
Help ensure ongoing compliance with Maine home care regulations.
Develop and improve compliance systems, forms, and workflows.
Organize paper and electronic records while maintaining accuracy and confidentiality.
Communicate proactively regarding compliance concerns and project progress.
Support office operations as the role continues to grow.

Required Experience

Previous experience in non-medical home care is strongly preferred. Experience in hospice, assisted living, or another closely related long-term care setting will also be considered if the role included responsibility for regulatory compliance, documentation management, personnel or client records, or state survey readiness.
Demonstrated experience maintaining compliant client and employee records.
Experience working with state regulations, licensing requirements, surveys, audits, or compliance documentation.
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills.
Strong computer proficiency, including Microsoft Office and Google Workspace (or similar software).
Demonstrated reliability, professionalism, sound judgment, and the ability to work independently.

Pay: $26.00 - $30.00 per hour
