Full Job Description

Job Overview
We are seeking an experienced HVAC OFFICE MANAGER to lead our team in providing exceptional heating, ventilation, and air conditioning services. The ideal candidate will possess strong supervisory skills and a solid background in office management, ensuring that operations run smoothly and efficiently. This role requires excellent communication and organizational skills to manage schedules, vendors, and team dynamics effectively.

Responsibilities

Billing and receivables
Manage project schedules and coordinate with vendors for timely procurement of materials.
Oversee budgeting and bookkeeping activities related to HVAC projects.
Handle human resources functions including payroll management and employee training & development.
Maintain organized records through effective filing systems and clerical support.
Utilize QuickBooks for financial tracking and reporting.
Use Field Edge dispatching and invoicing software
Ensure compliance with safety regulations and company policies during all operations.
Foster a positive team environment through effective communication and organizational strategies.

Requirements

Proven experience in supervising HVAC teams or similar roles.
Strong event planning skills to coordinate training sessions and team-building activities.
Proficiency in QuickBooks and other office management software.
Excellent schedule management abilities to optimize technician assignments.
Experience in vendor management to maintain relationships with suppliers.
Background in human resources, including payroll processing and employee relations.
Familiarity with medical office management is a plus but not required.
Strong organizational skills with attention to detail in administrative tasks.
Capability to manage multi-line phone systems and provide exceptional phone etiquette.
Effective calendar management skills for scheduling appointments and meetings.
