About Us

Foam Brain Games is a leader in the hobby gaming industry. We have a spacious office in Albany, NY where we fulfill online orders, manufacture some products and prepare for conventions.

About the Role

We are seeking a Project & Administrative Coordinator to support our Customs Manufacturing Department and several core operational functions across the company. This role is central to keeping projects, orders, and internal workflows accurate, organized, and moving forward.

The ideal candidate is highly organized, detail-oriented, comfortable working across multiple systems (project management, e-commerce, support tickets), and enjoys balancing administrative work with operational coordination and light social media support.

Key Responsibilities

Manufacturing Department Support

Participate in weekly project meetings with the Project Manager to review active and upcoming projects
Maintain, update, create project management boards
Perform daily checks of active boards for accuracy; update statuses and report discrepancies
Catalog incoming samples with relevant details (MTNs, customer, order details, invoice numbers)
Assist with sorting, packing, and shipping custom product orders as needed
Assist with invoicing customers

Administrative Operations

Allocate customer service tickets according to internal guidelines
Manage online marketplace platform tasks, including:
Inputting fulfillment/shipment details daily
Processing refunds
Requesting updated commission rates weekly
Complete miscellaneous administrative and cross-department projects as assigned

Social Media Support

Create daily posts for Facebook and Instagram (original content or from content calendar)
Participate in brainstorming for recurring and new content ideas (e.g., product highlights, weekly segments)
Assist with TikTok and other video social platforms when available

Required Qualifications (Essential)

Basic computer literacy
Proficiency with Google Workspace, especially Gmail, Docs, Sheets, and Forms
Excellent attention to detail, time management, and organizational skills
Customer service experience and/or strong written communication skills
Speed and accuracy with data entry
Ability to multitask, prioritize, and anticipate team needs
Comfort working in a fast-paced, multi-department environment

Preferred Qualifications

Experience with Monday.com or similar project management software
Experience with Shopify or other e-commerce platform
Experience with shipping and receiving workflows and tools such as ShipStation
Experience with Adobe Illustrator or similar design software
