Full Job Description

Overview
We are seeking a dedicated and detail-oriented Assistant Secretary to join our team. This role is essential in providing administrative support and ensuring the smooth operation of our office. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. As an Assistant Secretary, you will be responsible for managing various clerical tasks, assisting with customer service, and supporting the overall efficiency of our office environment.

This position starts as part-time (Monday through Friday 1:00pm - 5:00pm) with the strong potential to transition into a full-time role based on performance and business needs.

Duties

Manage front desk operations, including greeting patients and handling inquiries.
Operate multi-line phone systems to facilitate effective communication.
Perform data entry tasks and maintain accurate filing systems.
Assist with calendar management and scheduling appointments.
Provide customer support through effective phone etiquette and interpersonal skills.
Prepare documents, reports, and correspondence using Microsoft Office.
Proofread materials for accuracy and clarity before distribution.
Maintain office organization through efficient time management and clerical practices.
Support team members with administrative tasks as needed.

Experience

Previous office experience or administrative experience is required.
Familiarity with Microsoft Office Suite and multi-line phone systems is preferred.
Bilingual candidates are highly encouraged to apply to enhance communication with diverse clientele.
Experience medical secretary roles is a plus.
Strong typing skills along with proficiency in data entry and filing systems are essential.
