Event Booth Manager (Part-Time)

Our clinic is a high-volume Chinese medical clinic located in Poulsbo, WA. We provide patient-centered care using acupuncture, Chinese herbal medicine, pulse diagnosis, and individualized treatment strategies in a fast-paced, team-oriented environment. Our community outreach and event team plays a vital role in helping people learn about the clinic, meet our practitioners, and schedule new patient consultations.

We are currently hiring a part-time Event Booth Manager to represent our clinic at in-person marketing events, vendor events, health fairs, community events, fairs, festivals, and occasional lecture events. This position includes driving the company vehicle to event locations, transporting and setting up booth materials, maintaining a professional and welcoming booth, engaging with event attendees, inviting people to receive pulse readings, and signing interested individuals up for new patient consultations at the clinic.

This position is ideal for someone who is outgoing, confident, reliable, organized, and comfortable speaking with members of the public. The right candidate should be able to work independently at off-site events, approach people in a friendly and respectful manner, and represent the clinic professionally. Key Responsibilities

Represent our clinic at vendor events, health fairs, wellness events, community events, fairs, festivals, and occasional lecture events
Drive the company vehicle to and from event locations safely and responsibly
Load, transport, unload, set up, and break down booth materials, including tables, chairs, signage, marketing materials, displays, and related supplies
Keep the booth clean, organized, professional, and welcoming throughout the event
Walk through event spaces when appropriate to invite attendees to visit the booth and receive a pulse reading
Speak with event attendees in a friendly, professional, and respectful manner
Provide basic, approved information about acupuncture, Chinese herbal medicine, pulse diagnosis, and the clinic’s approach to care
Sign interested individuals up for new patient consultations using clinic-approved procedures and scheduling software
Collect consultation payments accurately when required
Keep accurate records of sign-ups, payments, leads, and event results
Communicate event results to clinic leadership and the event scheduler after each event
Notify management when marketing materials, forms, supplies, or booth equipment need to be repaired, replaced, or restocked
Assist with event preparation, including packing supplies and ensuring the company vehicle is ready for use
Perform other outreach, marketing, administrative, or clinic-support duties as assigned

Qualifications

High school diploma or equivalent required
Valid driver’s license and clean driving record required
Previous experience in customer service, sales, community outreach, event support, healthcare marketing, or a similar public-facing role strongly preferred
Experience working vendor booths, fairs, festivals, health fairs, trade shows, or community events preferred
Familiarity with holistic health, acupuncture, Chinese medicine, or wellness services preferred, but not required
Comfortable learning and communicating basic information about the clinic’s services
Comfortable approaching and speaking with members of the public in a friendly and professional manner
Reliable, punctual, and able to work independently at off-site event locations
Able to follow instructions, receive feedback, and use approved clinic talking points
Basic math skills for collecting payments and keeping accurate records
Comfortable using cell phone communication, email, scheduling tools, payment systems, and printed event forms
Able to dress professionally for booth events in accordance with clinic standards
Able to lift, carry, push, and pull 50 pounds
Able to stand and walk for extended periods during events
Able to work indoor and outdoor events in varying weather conditions

$23–$27 per hour depending on experience

FLSA and Employment Status

Employment Type: Non-exempt
Schedule: Part-time, flexible schedule based on the clinic’s event calendar. Most work occurs on weekends, with some events starting during the week.
Work Location: In-person only; off-site event locations with occasional time at the clinic for preparation and follow-up
