Our Practice

Charleston Oral and Facial Surgery is growing and looking for a full-time Scheduling Specialist. Our practice has seven Providers and an office staff of over 800 to ensure our patients have the best possible experience. Our state-of-the-art offices allow us to provide the best quality care in the safest environment. We offer a full scope of oral and maxillofacial surgery options such as wisdom tooth extractions, dental implants, orthognathic surgery, bone grafting, TMJ treatment and much more. You will find only the most up-to-date technology utilized at Charleston Oral and Facial Surgery, along with a team of professionals that are dedicated to the practice and each other.

Position Summary

The Scheduling Department at COAFS is intended to act as the first point of contact for all new and existing patients, and referring offices. Our Scheduling Specialists adhere to standards and best practices to ensure consistent and positive communication during every patient interaction, every time with the expectation that the Scheduling Department will drive new patient scheduling and case acceptance. The position requires interpretation of office policies and exercises in judgement towards the resolution of minor issues or specific scheduling requirements of patients and referring offices.

A Scheduling Specialist acts as an equal member of the Scheduling Department action including, but not limited to, the responsibilities outlined below. This position is full time with working hours between 7:50a-5:00p Monday through Thursday, and 7:50a-3:00p Fridays. The position is based out of the North Charleston office located at 3700 Ingleside Boulevard, Ladson SC, 29456. The starting hourly wage is $19+ per hour. Benefit package includes medical, dental and vision coverage, 401k, PTO, and holiday pay.

Position Responsibilities

The primary responsibility of this position is to provide support to patients and to our referring offices in scheduling, general questions, post-operative concerns, etc. This position will be responsible for the following:

Represent the practice well in all external communications, utilising provided etiquette guidance to ensure professional, accommodating, and empathetic disposition
Schedule patients appropriately across all available offices and surgeons according to Scheduling Department guidelines
Collect and enter required patient demographics, insurance information, referral details, and any additional relevant data to ensure smooth transition from scheduling to check-in
Accept and record payment for applicable surgery appointments
Advise patients of pre- and post-operative instructions for applicable surgery appointments
Communicate effectively and swiftly to members of other departments in regard to scheduling, when applicable
Address general inquiries related to payment options, treatment plans, office policies and procedures, patient experience, completed treatment, etc.
Escalate calls to the appropriate staff as necessary, e.g. upset patients or referring offices, or inquiries related to topics outside the scope of the position
Attend required trainings and meetings, e.g. EOM Fridays
Maintain low level of contribution to overall departmental errors through daily error report corrections
Maintain CareStack data cleanliness through error tracking, duplicate account deletion, data entry review, etc.
Comply with all OSHA and HIPAA guidelines

In-practice Network

Scheduling Specialists report directly to the Director of Patient Onboarding, including for matters of PTO and wages. There are no direct reports for this position.

Qualifications

The practice will expect that an applicant to the Scheduling Specialist position has the following qualifications to ensure success:

Excellent oral and written communication
1+ years call center/scheduling experience
1+ years dental/medical industry experience
Basic knowledge of Microsoft Excel and Outlook
Demonstrated history of either teamwork or inclusion in small- to medium-sized teams
1+ year experience of working with a multi-line phone system
Able to work completely on a computer and phone with no face-to-face interaction with patients
