Job Overview

Madison Street United Methodist Church is seeking a dependable, organized, and welcoming individual to serve as a part-time Church Office Assistant. This position is often the first point of contact for church members, visitors, and the public and plays an important role in creating a warm and professional office environment. The Office Assistant provides reception, communication, recordkeeping, and administrative support to help ensure the daily operations of the church office run smoothly. The ideal candidate will demonstrate strong communication and organizational skills, careful attention to detail, discretion when handling confidential information, and a willingness to support the ministries and mission of Madison Street UMC.

Duties:

Greet church members, visitors, and guests in a warm and professional manner.
Answer incoming phone calls, take accurate messages, and direct calls to the appropriate staff member.
Respond promptly and courteously to emails, questions, and general inquiries.
Provide information about church services, ministries, programs, events, and facility activities.
Prepare weekly worship bulletins, newsletters, worship emails, correspondence, and other church communications.
Distribute information through email, bulletin boards, printed materials, and social media platforms as requested.
Receive, sort, and distribute incoming mail and packages and prepare outgoing mail.
Maintain a clean, organized, and welcoming reception and office area.
Monitor office supplies and notify the appropriate staff member when items need to be reordered.
Maintain accurate worship attendance and event participation records.
Update church databases, member records, contact lists, and other administrative files.
Prepare reports, documents, copies, and materials requested by church leadership and staff.
Assist with communication among church staff, congregation members, volunteers, and the public.
Follow established office procedures and use the position’s standard operating procedures when completing assigned tasks.
Maintain confidentiality and exercise discretion when handling personal, financial, pastoral, or other sensitive information.
Provide additional clerical and administrative support as assigned by the Office Manager or church leadership.

Experience

High school diploma or equivalent required.
Previous experience in an office, receptionist, customer service, church, nonprofit, or administrative support role preferred.
Proficiency with basic computer programs, email, word processing, spreadsheets, and online databases.
Experience preparing documents, newsletters, bulletins, correspondence, or other printed materials is preferred.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Ability to manage multiple tasks, meet deadlines, and maintain attention to detail.
Friendly, professional, and welcoming demeanor when interacting with church members, visitors, staff, and the public.
Ability to work independently while also collaborating effectively with staff and volunteers.
Ability to follow established procedures and accept direction and feedback.
Experience handling confidential or sensitive information with discretion.
Familiarity with church operations, membership databases, or programs such as Realm is helpful but not required.
Reliable attendance and the ability to maintain a consistent weekday schedule.
