Job Summary
We are seeking an energetic and highly organized Scheduling Coordinator to join our dynamic team! In this vital role, you will manage and coordinate orders, machine operations, meetings, shipments, and schedules with precision and efficiency. Duties

Manage and maintain comprehensive calendars for multiple team members, ensuring all appointments, meetings, and deadlines are accurately scheduled and updated.
Coordinate with clients, vendors, and internal staff to confirm appointments and resolve scheduling conflicts promptly.
Answer multi-line phone systems with professionalism, providing excellent customer service and support to callers.
Perform data entry tasks using work orders, tickets and other office management software to keep records current and organized.
Assist with clerical duties such as filing, proofreading documents, checking orders, and managing correspondence to support daily office operations.
Support office management tasks including supply inventory checks, document organization, and maintaining a tidy workspace.

Skills

Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace for efficient document creation and communication.
Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
Bilingual abilities are a plus to assist diverse client needs.
Previous office experience including clerical work or administrative roles is highly desirable.
Exceptional time management skills to meet deadlines while juggling multiple responsibilities.
Attention to detail for proofreading documents and ensuring accuracy in data entry.
Customer service orientation with a friendly demeanor when supporting clients or visitors.
