Full Job Description

Position Summary

The Human Resources Assistant I will assist with the day-to-day operations of the Human Resources Office including recruitment, processing new employee paperwork and onboarding, system updates, preparing various correspondence, and performing a variety of tasks related to the human resources function.

Direct Supervisory Responsibility: NO

Essential Duties and Responsibilities

Assist in the recruitment and selection process which may include scheduling of skills testing and interviews, background checks, collecting and preparing related correspondence and documents such as employment verifications, transcripts, and other forms as requested
Greet HR visitors and answer calls, respond to inquiries by phone and in writing
Administer support staff pre-employment and reclassification testing
Assist in organizing and managing new employee orientation, onboarding, and training processes and programs
Process employee paperwork and entry into Banner, NeoEd, and other systems
Set up and maintain personnel files; maintain the security and confidentiality of all employment information, files, and documents
Prepare letters of appointment and tracking for part-time, adjunct and full-time employees
Sort, scan, and file correspondence and other documents according to established codes of records management
Work closely with payroll office staff to ensure timely and accurate information processing
Assist in development and preparation of reports and documents using MSOffice, Excel, Word, NeoEd, and Argos reporting software
Prepare letters, memorandums, and other correspondence as needed ? Maintain the organizational chart
Input departmental purchase orders, ordering office supplies and equipment
Assist with events related to Human Resources
Enhance professional knowledge and skills through professional development and continuing education
Comply with all policies of the Alabama Community College System and the College.
Assist all other positions within the department and special projects as assigned ? Perform other related duties as assigned

Qualifications

QUALIFICATIONS:

Two (2) years of postsecondary education with a minimum of 15 semester hours in human resources or a business-related area required
Associate’s degree preferred
Two (2) years of full-time clerical or office-related work experience required
Experience working in human resources preferred. Experience working with Banner or other similar ERP computer system preferred

Ability to establish and maintain effective contacts with students, other employees, and the public
Ability to maintain confidentiality of employee and office information
Ability to keyboard at 40 correct (net) words a minute for 3 minutes
Intermediate to Advanced knowledge of MS Office merge functions, graphs and formulas, and database experience (Computer Level II Exam)
Working knowledge of office procedures; general office procedures, GSCC procedures, composition, machine transcription, and records management (Office Procedures Level II Exam)
Exhibit initiative to pursue and learn additional tasks as needed

SALARY: Salary Schedule E3, 04 ($39,759 - $57,251) Based on the 2025-2026 ACCS Salary Schedules. Salary may be based on VERIFIED education and years of VERIFIED FULL-TIME directly related experience that is stated on the initial job application and resume. Salary Calculation: For all positions on all Salary Schedules, the salary amount for the selected applicant is determined by step placement on the applicable schedule. Step placement is dependent upon the following: (a) all full-time work experience in public education in Alabama and (b) all other full-time work experience outside of public education in Alabama that, in the sole judgment of the College, directly relates to the requirements of the position. The applicant selected for the position must provide written verification(s) of this full-time work experience within the time provided herein if such experience is to be considered in determining their initial step place on the Salary Schedule.

Format for Work Experience Verifications: Work experience verifications should be in the form of verification letters from employers and must include complete employment dates, job title(s), job duties, and an indication whether such employment was full-time or part-time, and if part-time, the average number of hours worked each week. The letters should be on official letterhead and contain an authorized personnel signature. The College’s official employment verification form is also acceptable and is available upon request. If an employment verification cannot be obtained due to a legitimate reason, for purposes of meeting minimum requirements an applicant may submit copies of other trustworthy documentation such as appointment letters, contracts, pay stubs, or W-2 forms documenting the term of employment. However, such documentation is generally insufficient for salary calculation purposes if job duties and dates of employment are not self-evident in the documentation.
