Full Job Description

Please Note: Candidates must have prior experience as a CIBMTR Data Manager with blood and marrow transplant registry reporting.

The CIBMTR Program Manager provides leadership and oversight for CIBMTR clinical data management activities across multiple transplant registry projects. This position is responsible for coordinating registry operations, ensuring high-quality data abstraction and validation, supervising CIBMTR Data Managers, and supporting compliance with CIBMTR reporting requirements.

Working closely with division leadership, the Clinical Program Manager develops and oversees data management workflows, monitors project progress, and ensures timely completion of registry deliverables while maintaining the highest standards of data quality.

Essential Responsibilities

Lead the operational management of CIBMTR clinical data management projects.
Supervise, mentor, and provide ongoing support to assigned CIBMTR Data Managers.
Develop and implement standardized abstraction and data management processes.
Coordinate validation and quality assurance activities to ensure accurate and complete CIBMTR data submissions.
Monitor validation scores, identify trends, and provide coaching and educational interventions to improve abstraction quality.
Collaborate with physicians, clinical staff, and division leadership to ensure compliance with CIBMTR reporting requirements.
Maintain current knowledge of CIBMTR reporting guidelines and regulatory requirements.
Assist with workflow improvements, training initiatives, and continuous quality improvement efforts.

Required Qualifications

Minimum of five (5) years of experience as a CIBMTR Data Manager.
Demonstrated experience with CIBMTR data submission, abstraction, and registry reporting.
Previous experience performing CIBMTR validation reviews, quality assurance, or data quality oversight.
Experience supervising, mentoring, or training clinical data managers is preferred.
Strong knowledge of hematopoietic stem cell transplant terminology, oncology documentation, and CIBMTR reporting requirements.
Excellent organizational, communication, and problem-solving skills.

Essential Duties/Key Responsibilities/Accountabilities:

Manages all abstracting and data management operations/project related activities in accordance with applicable regulatory agencies for assigned specialty area(s).
Ensures all Program Manager/Quality Analyst instruction documents/policies/procedures are followed.
Ensures successful setup and implementation of new projects including working with each client to define project parameters/project roadmap, project expectations and requirements for the services RP will provide.
Conducts staff training on data abstraction software (including but not limited to FormsNet) and facility Electronic Medical Record System(s).
Provides clear expectations, goals and deadlines to project team(s).
Conducts a re-abstraction of the first/second/third forms (if applicable). Provides timely feedback and consultation as needed to data managers.
Conducts a weekly re-abstraction of a random sample of forms completed to enforce and ensure data management guidelines are being followed and interpreted accurately.
Monitors validation compliance and completion for each assigned project and staff member by utilizing internal validation reports.
Completes weekly case log verification for assigned projects to verify forms and associated documents are 100% complete. If any validation issues are noted during this review, the data manager is notified of pending corrections and corrections are verified.
Provides ongoing validation guidance and support to other team members who are abstracting, as needed.
Schedules project team's work assignments/hours to meet the needs of each project with accurate project forecasting.
Assists the Registry Services Director or Senior Vice President with providing corporate education regarding industry and/or regulatory agency changes/updates as needed.
Attends and actively participates in weekly meetings.
Prepares and submits accurate weekly reporting of project activities and tasks.
Consults industry related Q & A resources as needed for abstracting questions/clarifications as needed.
Identifies staffing needs based on workload and services being provided to the client, and recognizes additional work opportunities that may be available.
Monitors project priorities, deadlines and productivity to ensure staff work schedules and project expectations are being met.
Maintains all project related documentation.
Provides timely responses to employee and client questions and/or concerns as needed and consults with other management team members when necessary.
Proactively identifies and analyzes problems (employee and client) to ensure a successful solution. Handles challenging situations (employee and client) tactfully and professionally.
Fulfills committed work hours to meet the requirements of clients, employees and the company during normal business hours and across standard business days (Monday through Friday, 8:00 am to 5:00 pm in your time zone) and during non-standard hours (evenings, nights, weekends and holidays) as needed. Use of the company-provided phone or Google Voice number when out of office to maintain availability and assist with the expected response time, within four business hours of call, email or request for assistance.
All other duties as assigned.
