Full Job Description

HELP PEOPLE RECOVER WHEN IT MATTERS MOST

Paul Davis Restoration of Central Connecticut helps homeowners and businesses recover after water, fire, mold, and storm damage. We are seeking a compassionate, organized Customer Service & Client Care Coordinator who can bring calm and clarity to customers during stressful situations while keeping every job accurately documented and moving forward.

This role is often the first voice a customer hears and serves as a central point of contact from the initial call through mitigation, reconstruction, project management, and final documentation. You will connect customers, field teams, project managers, insurance partners, and office staff so that handoffs are clear and nothing falls through the cracks.

KEY RESPONSIBILITIES

Customer Care and Communication

Answer inbound calls, complete intake for new property-loss claims, and gather accurate customer, insurance, and loss information.
Explain the restoration process in clear, reassuring language and set appropriate expectations for next steps.
Serve as the customer’s primary point of contact, providing timely updates throughout mitigation, reconstruction, project management, and final documentation.
Coordinate clear handoffs between customers, field teams, project managers, insurance partners, and office staff.
Follow up proactively, respond to customer questions, document interactions, and escalate urgent matters to the appropriate team member.

TPA Notes and Job Documentation

Review every active TPA-assigned job each day.
Update all required TPA notes, job details, status milestones, customer communications, and follow-up items within applicable program timelines.
Keep RMS, Alacrity, and other job-management or TPA systems accurate and current.
Document scheduling updates, job progress, outstanding requirements, and communication with customers and insurance partners.
Create and maintain complete job folders.
Collect and organize work authorizations, MICA reports, photographs, uploads, insurance documentation, checklists, signatures, and other required records.
Review job documentation for completeness and follow up with field or office team members when photos, forms, notes, signatures, or other required items are missing.

Scheduling and Job Coordination

Schedule inspections, service appointments, testing, remediation, mitigation work, and customer follow-ups.
Communicate schedule changes promptly to customers and team members.
Track asbestos testing, remediation scheduling, mitigation completion, Certificates of Satisfaction, and final-document requirements.
Meet with Arian each morning and evening to verify technician dispatches, returns, schedule changes, completed checklists and photographs, insurance documentation, and accurate job-time charging.
Coordinate with field teams and project managers to identify delays, clarify next steps, and keep jobs progressing toward completion.

QUALIFICATIONS

High school diploma or equivalent.
Customer service, administrative coordination, dispatch, insurance, restoration, or related experience is preferred.
Excellent phone presence and written communication skills.
Ability to communicate with empathy, patience, and professionalism, particularly when customers are experiencing stressful situations.
Strong organization, prioritization, follow-through, and attention to detail.
Ability to manage multiple active jobs, deadlines, and follow-up items.
Proficiency with Microsoft Office.
Comfort learning job-management, insurance, and TPA platforms.
Ability to work independently while collaborating effectively across departments.
Ability to maintain confidentiality and take ownership of unresolved items.
Occasional after-hours availability during emergency situations.

SCHEDULE AND REPORTING

This is a full-time, in-office position working Monday through Friday from 8:00 AM to 5:00 PM. Occasional after-hours availability may be required during emergency situations.
