Medical Receptionist Position Summary:
The Appointment Specialist creates a positive first impression of the practice in greeting patients and other callers. They are responsible for quickly and accurately directing callers to the appropriate department/person, scheduling patient appointments according to practice protocols, and obtaining the necessary information for new and established patients.
The Patient Service Representative is responsible for maintaining the front office and representing the practice with professionalism. This position requires multi-tasking effortlessly, prioritizing efficiently, handling patient requests, placing outbound calls to patients, and handling all administrative tasks with a positive attitude (to include patient check-in, check-out, receiving payments, and answering telephones).
The Health Information Representative is responsible for maintaining the health records for the Center for Family Health in a manner consistent with medical, dental, administrative, ethical, legal, and regulatory requirements.
Patient Account Representative is responsible for independently and accurately submitting billable claims, maintaining aged A/R, monitoring and resolving credit balances, and reconciling payment posting.
Medical Receptionist Duties and Responsibilities:
- Greets patients in a warm, welcoming, and professional manner. Always utilizes excellent customer service skills.
- Enters and verifies all demographic information into the electronic medical record system.
- Enters, scans, and verifies (via electronic verification system) all insurance information into electronic medical records.
- Distributes forms to patients with necessary explanation and assistance. Collects forms from patients ensuring proper completion.
- Collects co-payments and past due balances. Ensures all money is accounted for by completing the end of day process to balance both the electronic and physical cash drawer.
- Maintains cash box during each shift to ensure all cash-box money is accounted for.
- Schedules patient appointments by consistently and accurately utilizing department scheduling guidelines.
- Checks in-basket daily and completes pending tasks.
- Completes robust reminder calls daily.
- Assists with waitlist.
- Assists with administrative duties (faxing, copying, mail, reports, etc.)
- Follows proper process for STAT tests ordered by provider.
- Other activities that assist with coordination of patient care (verbally review patient instructions, orders, labs, referrals) as well as necessary follow-up to complete these requests.
- Completes department-specific projects, such as patient tracking and follow-up.
- Conforms with and abides by all regulations, policies, work practices and instructions.
Certified Medical Assistant Position Summary:
The Medical Assistant is responsible for assisting providers with providing high-quality health care services to patients and their families in collaboration with the support staff of the Center.
The Medical Assistant is expected to work in a team-based environment where the approach is a whole person care approach that engages the patient in their health care and requires all team members to be effective and supportive communicators. A high degree of integration and collaboration is required to meet the varying and changing needs of our patients.
Certified Medical Assistant Duties and Responsibilities:

- Prepares for patient arrival by completing the pre-charting checklist functions.

- Accurately label and process tests and specimens for outside testing agencies.
- Perform venipuncture as needed.
- Accurately complete patient paperwork (prior authorizations, insurance forms, FMLA, etc.) in a timely manner.
- Ensures accurate and appropriate documentation in medical record in real-time.
- Cleans and sterilizes equipment and instruments, as needed.
- Keeps work area, department and exam rooms clean and fully stocked.
- Engage in quality improvement initiatives

Certified Medical Assistant Education and Experience Requirements:
- Minimum of High School diploma (or equivalent).
- Graduate of a formal medical assisting or practical nursing training program.
- Certification (CMA) or Registration (RMA) or Licensure (LPN) preferred.
- Previous medical assistant experience preferred.
- Must have BLS certification or the ability to attain one.
Dental Assistant Position Summary:
The Dental Assistant is responsible for providing chair-side assistance to dental providers with procedures, patient education, and proper care of dental supplies and equipment, to ensure efficient and smooth dental procedures.
The Dental Assistant is expected to work in a team-based environment where the approach is a whole person care approach that engages the patient in their health care and requires all team members to be effective and supportive communicators. A high degree of integration and collaboration is required to meet the varying and changing needs of our patients.
Dental Assistant Duties and Responsibilities:

- Prepares patients for procedures by seating them, preparing patients for procedure, completing, and reviewing required forms and consents and reviews health histories.
- Prepares patients for x-rays, takes x-rays and exposes, develops and mounts x-ray films.

- Apply fluoride.
- Pouring models.
- Conducts any pre-procedure testing as required.
- Prepare a pick list for Patient Accounts to assist with treatment estimates.
- Assists in procedures by setting up and arranging appropriate instruments for the procedure to be performed.
- Assists provider as directed with variety of procedures, such as impressions, mixing cement.
- Breaks down room after procedures, disinfects equipment and prepares for next use.
- Assists Dental Hygienists with procedures.
- Maintains records and files by recording data and information into patient files.
- Ensures procedures are documented and assists patients with scheduling follow-up care.
- Assists in maintaining equipment by cleaning and disinfecting equipment.
- Reviews and maintains inventory of supplies for office and lab.
- Conforms with and abides by all regulations, policies, work practices and instructions.
Dental Assistant Education and Experience Requirements:
- Minimum of High School diploma (or equivalent).
- Previous dental assistant experience preferred, or experience through a dental occupations program.
- Must have BLS certification or the ability to attain one.
