Full Job Description

Miller Johnson, a rapidly growing Midwest law firm known for its entrepreneurial spirit, down to earth culture, and deep-rooted commitment to the communities we serve is looking for a Records Coordinator. In this role, you will serve as a detail-oriented and service-driven team member responsible for supporting the firm’s Records and Document Management function as a primary focus, while also providing cross-functional support within broader Support Services operations. Partnering closely with the Records Lead, you will ensure the accurate handling, organization, and retrieval of highly confidential legal records within a fast-paced, high-volume environment. This position requires a strong commitment to precision, confidentiality, and exceptional internal client service.

Key Responsibilities and Essential Functions

Records & Document Management (Primary Focus)

Organize, maintain, retrieve, and store physical and electronic records in accordance with firm policies
Provide in-person support to attorneys and staff in a high-traffic Records Room
Collaborate closely with the Records Lead to ensure accurate handling of confidential legal documents
Perform administrative tasks such as scanning, copying, filing, and document indexing
Troubleshoot basic technical issues related to document management systems and reprographics equipment
Ensure compliance with firm policies and records retention procedures
Travel to the Detroit and Grand Rapids office as needed (approximately 25%)

Support Services

Support daily mailroom and package operations, including receiving, sorting, scanning, distributing, and preparing incoming/outgoing mail and courier deliveries
Assist with office logistics to maintain an organized, functional, and client-ready environment, including conference room resets, print projects, and general office support tasks
Maintain office supply and hospitality inventory levels and communicate replenishment needs
Prepare conference rooms for internal meetings, client meetings, and events, ensuring accurate and timely setup
Provide receptionist/front desk coverage during breaks, lunches, PTO, and absences as a professional first point of contact
Coordinate workspace setup and office readiness for new hires, visitors, and internal office moves
Partner with team members to provide cross-functional support and backup coverage as needed
Participate in process improvement and standardization efforts to enhance efficiency
Support facilities coordination, projects, and other duties as assigned

Education and Experience

High School Diploma or GED required
Minimum of 1 year of administrative, records management, office services, or related experience required
Proficiency in MS Office (including Outlook, Word, Excel and PowerPoint) required
Experience in a law firm, or other professional services setting preferred
